Job DescriptionAre you a SCHADS Whizz looking for a fresh start to 2025? We are looking for an experienced Rostering Coordinator on a Part-time basis to join a friendly team and to make a real difference in the lives of families with children who have complex needs and life limiting conditions in our head office team in Osborne Park. This role will be required to work 30.4hrs a week over 5 days per week. The Rostering Coordinator is responsible for allocating the overall deployment of staff resources, to ensure rostering meets client demand for service delivery, and to maximise the effectiveness and efficiency of Hannah's House operations.
The position will influence and support management decisions relating to operations and potential growth through the design and production of accurate and timely rostering and report analysis.
Reporting to the Team Leader of Service Delivery, responsibilities will include but not be limited to:
Roster ManagementSchedule over 80 skilled frontline employees ensuring rosters are readily available.Prepare, manage and communicate staff rosters that enable an effective balance between optimising staff efficiency and maximising staff and client satisfaction.Work collaboratively with the coordinators to ensure rosters reflect resource needs to meet service delivery demands.Ensure the roster is completed, available and communicated in a timely manner that meets all Award/Industrial requirements and client service agreements.Identify and with support of the coordinators, manage any foreseeable capacity gaps to ensure service delivery is optimised.In conjunction with the coordinators, effectively manage both planned and unplanned leave.Monitor set rosters in line with Award provisions to ensure cost effectiveness and efficiency.Undertake administrative activities related to managing the roster, including but not limited to inputting and updating staff details and attendance preferences.Regularly liaise with staff and families via phone calls and emails regarding changes to the roster.Audit actual staff attendance against planned rosters and ensure discrepancies are escalated and reported on.Identify and address rostering conflicts or challenges, ensuring minimal disruption to service delivery.Escalate unresolved issues, overtime concerns, or recurring gaps to the manager.Roster AnalysisConstantly review the roster against set performance targets and recommend actions and/or strategies to improve performance.Monitor rosters to identify regularity in rostering trends that may ultimately affect staff employment terms and conditions.General AdministrationConnect with the families to ensure their rostering requirements are being met.Play a key role in service quality through strong customer service and quick thinking.Desired Skills and ExperienceDemonstrated skills and experience in rostering and/or scheduling using a comprehensive electronic rostering system.Ability to analyse data and apply critical thinking skills.Excellent interpersonal and communication skills (written and verbal) including being able to work well in a small team.High level customer service skills and ability to apply those skills to positive and supportive work habits.Relevant experience in the delivery of support in the disability/care/health sector.Cert 3 or equivalent in Business.Knowledge of the National Disability Insurance Scheme.Previous experience in Award interpretation and or payroll-related data analysis.As a child safe organisation, we have zero tolerance for any form of child abuse.
