Would you like to work with a small team who value your contribution by providing administrative support and learning to process less complex access applications?
As the Right to Information and Privacy Officer, you will respond to enquiries about information access, prepare weekly reports for senior team, administer the team emails, record keeping, templates, procedures invoices, remittances, and ensure that all applications are correctly logged into our case management system on a daily basis.
About the role The role provides business and administrative support to a busy RTI and Privacy team, assisting in the achievement of their legislative responsibilities. This role requires you to work within the specialist RTI and Privacy teams and liaise with both internal and external stakeholders. Integrity, discretion, and tact are essential in dealing with the sensitive and confidential nature of information.
Decision Making responsibilities Exercise delegated decision-making powers to process a caseload of access and amendment applications within statutory timeframes and in accordance with the RTI Act and IP Act.Undertake compliance activities on access applications in accordance with the requirements of the RTI Act and IP Act.Prepare a variety of correspondence, including decision notices under the RTI Act and IP Act.Provide oral and written advice to internal and external stakeholders regarding statutory obligations, compliance with the RTI Act and IP Act, and issues affecting or likely to affect OIR.Respond to telephone and email enquiries from internal and external stakeholders, providing accurate advice and explaining the legislation in an easy, understandable manner.Administration responsibilities Managing the administration of application files as the first point of contact, creating files using the document and case management systems, and referral of matters to appropriate officers.Generate weekly disclosure log reports; collate and compile completed disclosure log decisions for publishing; review and monitor content of published disclosure log in line with the RTI Act and ministerial guidelines.Process, receipt, and reconcile financial payments for applications; generate weekly outstanding debtors reports; ensure that all financial invoices are paid in a timely manner.Generate the weekly RTI and administrative access application reports for provision to management.Update and maintain procedure documentation.Records management, including file creation, maintenance, and archiving.Provide administrative assistance for preparation and delivery of training to OIR by RTI and Privacy.Provide administrative assistance and support, including ordering stationery, meetings coordination, onboarding new starters, document collation, and transfer of documents to applicants and stakeholders.Engage in business support projects as operational needs require.Participate as an active member of the team by contributing ideas and supporting other team members.Provide a high level of customer service to both internal and external clients and contribute effectively to the achievement of the team's outcomes.Applications to remain current for 12 months.
