They will be responsible for the marketing of the College under the guidance of a marketing plan directed by the Principal.
They will play an integral part in ensuring that whole school events are run professionally by providing administration support as directed.
Coordinate bookings for hirers under the direction of the Accountant or Business Manager.
They will be required to attend and be an active participant in office meetings and actively share important information using the Office One Note Hub.
ResponsibilitiesThe main responsibilities are:
Provide internal staff with professional administrative support including taking accurate messages, word processing duties, and attending to routine correspondence when required.As the first point of contact and main marketing person, answer telephone enquiries efficiently, friendly, and professionally.Assist with creating posters and advertising materials for the canteen.Maintain familiarity with school priorities to direct enquiries to the most appropriate staff member promptly.Distribute all emails from the School email.Order necessary office supplies for the Administration team and paper supplies for the College.Ensure the front office and reception are always clean, tidy, and reflective of the desired culture.Set up for meetings (water, tea, coffee, minutes, agendas, etc.) and ensure the conference and meeting rooms are clean and ready.Assist with the catering needs for the PCO team.Order cleaning supplies as informed by the cleaners.Order planners and diaries for all staff.Coordinate applications for Professional Development for the PD Team, including follow-ups with staff and service providers.Coordinate school council meetings with minutes, agendas, and liaising with the Principal.MarketingFollow the marketing plan prepared by outside agencies.Prepare and publish the College's newsletter each week for 9 am each Friday.Ensure timely preparation of social media posts.Ensure timely preparation of articles for the College's front digital noticeboard.Ensure the College's website is kept up to date.Photograph important school events or organize for others to provide photographs.Attend meetings with the Principal and Business Manager to ensure alignment with the marketing plan.Coordinate Whole School Events, including assisting the transition team with Open Night and other events as directed.HirersLiaise with community organizations to promote the hiring of school facilities.Coordinate bookings for hirers under the direction of the Accountant or Business Manager.Ensure all documentation is received from hirers.Liaise with Accounts Receivable to ensure timely invoicing.OtherAttend required professional development and training.Attend fortnightly office meetings.Perform other duties as assigned by the Business Manager or Principal.All staff are expected to communicate through messaging on TEAMS or emails as well as face-to-face meetings.Stay updated with events happening throughout the College, with the Outlook Calendar set to include the College Calendar.Who May ApplyCollege Focus: Demonstrates a desire to address College needs professionally.Flexible Team Player: Works effectively within various situations, individuals, and groups.Planning and Organizational Skills: Establishes a clear course of action to achieve goals in an organized manner.Technical Knowledge / Skills: Possesses the technical skills to enhance the quality of services provided by the school.Sound Marketing PrinciplesEEO AND OHS CommitmentApplicants seeking part-time employment are encouraged to apply for any teaching service position, and requests will be negotiated on a case-by-case basis.
