About the vacancy: Receptionist/Office Assistant

We are looking for a receptionist or Office Assistant with demonstrated experience in reception or customer service, or previous experience in office administration.

Main Duties / Responsibilities:

Receptionist

Respond to public enquiries by managing incoming and outgoing telephone calls Receive, welcome, and safely manage the entry and exit of client families, contractors and visitors Maintain the reception and office areas by ensuring the environment is clutter-free, clean and poses no risk of trips and falls. Capture data into various organization systems Perform administrative varied tasks such as binding, laminating, scanning etc. Complete opening and closing procedures for the reception areas

Procurement

Provide oversight of the centre including centre supplies such as kitchen and activities supplies

Training Room Support

Manage staff training schedule and waiting list (communicating with employees and providing updates on available trainings) Possess above average computer literacy to help employees login into computers and access online training modules Refer incoming calls to the relevant person Act on all enquiries promptly and efficiently.

Meeting and Training Rooms

Assist in preparing and setting up conference/training/meeting rooms for NDIS participants group events. Schedule appointments with various centre stakeholders Coordinate catering for meetings and events

Communication

Be professional and polite in all communications Write and speak clearly and respectfully

Qualifications / Requirements:

Formal qualification in Business/Office Administration is desirable, but not essential. Current Worker Screening check Driver's license Willingness to maintain confidentiality Ability to provide feedback to management on any issue or concern Police clearance

Experience:

1 to 4 years of previous experience working as a receptionist or in a client-facing administration role is highly desirable Experience working with communication systems Experience working with various cultures and abilities (preferred) Knowledge of continuous quality improvement principles Demonstrated understanding of strategies to deal with difficult customers or clients. Willingness to learn about NDIS and NDIS practice standards

Skills:

Strong customer service skills and the ability to remain calm. Proactive, enthusiastic and able to multi-task. Professional phone manner. A self-starter with the ability to work independently. Ability to use Microsoft Office suite of programs and other computer systems for record-keeping. Ability to work as part of a team and maintain good working relationships. Ability to speak English fluently. Ability to work with different cultures, genders, ages and ability levels Ability to build rapport and trust with clients. Ability to complete required documentation Strong time management and prioritization ability. Reliable and punctual with dedicated professionalism to job and duties. Exhibit initiative, responsibility, and flexibility. Proficiency with Office 365
