A new opportunity exists for a friendly and professional Receptionist to act as a first point of contact for our valued clients and employees.The roleThis full-time role is vital in supporting the firm by providing a friendly and professional first point of contact for our valued clients and business partners.Main Reception dutiesRunning an efficient and welcoming reception areaWelcome clients on arrival and offering tea and coffeePreparing meeting rooms (eg water, glasses, whiteboards clean, etc)Coordinating client meetings and meeting room resourcesEnsuring reception, meeting rooms and kitchen are kept clean and tidyAttend to participant needs during meetings eg copying, scanning, printingOther ad hoc tasks as requested by professional staff or supervisorMail HandlingAccept deliveries and payments and ensure delivery book is maintainedOpen, sort and prepare morning mail for distributionTimely distribution of post, faxes and emails to the relevant people/teamsPrepare afternoon mail, including express and registered postOffice SupportDaily delivery of legal documents to Courts, ACAT, Land Titles Office, ACT Revenue Office, Settlements and other business partnersOrdering office stationery and kitchen supplies as directed by the Office CoordinatorCollect and sustainably dispose of recyclables, cardboard, secure paper, used batteries and toner cartridgesFile archiving, closing and destruction and maintaining the firm's Archives Register and LEAP and Aderant recordsTaking files to and retrieving from our archives and maintaining archives in good orderFilling copiers throughout the office with paper every morningAbout youKnowledge of Microsoft software eg Outlook, Excel, and WordKnowledge of phone systems in particular MS TeamsWell-presented and professionalGood work ethic and can take direction to learn on the jobOrganised with good attention to detailExcellent communication and interpersonal skillsUnderstanding of WHS proceduresAbility to maintain client confidentialityAbility to remain calm under pressureAbout GadensGadens is a leading, independent Australian law firm, with a clear vision and strategy for the future.
