DUTIES AND RESPONSIBILITIES: Act as the main contact for marina reservations and reception providing customer assistance technically or with regards to achieving customer satisfaction. Ensure reservation department and Front Office staff are constantly aware of availability states: open, on request, closed dates, high demand dates, etc. Respond to all reservation requests and execute prompt, courteous, and accurate guest service at all times. Fully knowledgeable about club and marina services, rates, promotions, amenities, programs, and facilities. Answer guest inquiries pertaining to club and marina services, and registration of guests. Manage systems that are set up within the reservations department to ensure accurate handling and monitoring of phone calls. Assist and prepare in the pre-arrival process. Maintain a clean and organized work area. Verify all reservations taken on the reservation forms are updated on the PMS without fail. Verify if each reservation request is processed as per the required standards and without delay. Process retentions, no-shows, and cancellations as per the hotel policy and procedures.
Handle any request for amenities or transportation promptly and accurately.
Details are shared with the concerned department or third party accurately. Monitor all Tentative / Provisional / Waitlisted bookings entered on the system and follow up deposits and payments.
Record and file all reservation correspondence neatly and accurately on prescribed forms or folders. Keep records of availabilities, rates, amendments, daily reservations, pickup, berths or stores on book, cancellations, no-shows, etc. Handle the reservation correspondence accurately and neatly and follow up for any missing correspondence before customer arrival and comply with COVID check-in laws. All reservation modifications are updated on the property management system immediately and accurately in case of any changes. Train newly recruited reservation staff in taking reservations, telephone etiquette, reservation module on marina software, and processing emails. Ensure deposit payment is taken in advance for all reservations. Assist Managers with administration requirements. PREREQUISITES: Excellent communication skills and extremely organized.

Ability to work with multiple systems and applications like spreadsheets, databases, word processing, marina management software, and computers.

EXPERIENCE: Previous experience in reservations, one to two years of experience in front desk operations is preferable.
The successful candidate is likely to have a passion for customer service, excellent communication skills, and good levels of written and spoken English.
