POSITION PROFILE
The SRS Reception Administrator's primary function is to ensure the efficient management of all front desk reception procedures and the delivery of exceptional customer service to both internal and external care teams at Whitehaven.
KEY RESPONSIBILITIES
RECEPTION:
Manage the reception area
Attend to enquiries from staff and relatives
Maintain visitors' register (name of visitor, purpose of visit, time in, time out, name of resident, relationship)
Manage all incoming calls on the main switchboard
Check answering machines for all messages left overnight and pass on to the relevant person
Maintain the telephone and voicemail system, assisting with enquiries and ensuring appropriate voicemail messages are recorded for various situations (i.e., absences, emergencies, and reporting faults)
Manage office emails and redirect them to the appropriate department
Manage the absentee database and advise appropriate personnel
Welcome, sign in, and seat visitors for collection by the appropriate staff member; issue visitor passes as necessary
Accept and direct deliveries
Provide First Aid and Medicine Distribution in line with SRS Policy and Procedures
Maintain the tidiness and professional appearance of reception
Other reception administration duties as required
ADMINISTRATOR:
Arrange the fortnightly roster by taking the availability of employees
Prepare employees' reimbursements, kilometers, missing payments, and missing hours in an Excel sheet
Coordinate with the payroll team based in Melbourne
KEY SELECTION CRITERIA
Alignment with the vision and purposes of the SRS
Cert III/Diploma in Community Services or other healthcare course
Equivalent course
First Aid/CPR/Police Check/NDIS Screening Check
Strong interpersonal skills
Reliable, able to maintain confidentiality, and possess well-developed written and verbal communication skills
The ability to build and maintain strong relationships with staff, relatives, and the community with empathy and cultural sensitivity
Strong organisational and time management skills with the ability to work well under pressure and manage competing tasks with a high level of attention to detail
Experience with Microsoft Office and other PC programs

Pay: $30.00 – $35.00 per hour
Expected hours: 25 – 30 per week
