ABOUT THE ROLE
The primary purpose of the Workshop Administrator is to effectively administrate the Qube fleet software systems and provide administrative support to the Mt Gambier workshop team.
This will involve monitoring, reporting & filing compliance documents, scheduling & forecasting servicing and repairs, capturing all related documentation electronically.

Specific Responsibilities

Coordinate service plans with the workshop manager.
Create Work Orders against reported defects from Prestart checks and service faults identified.
Capture the status of tasks inside the fleet software system (i.e., open, allocated, and closed).
Compile all reference documents against repairs (i.e., supplier invoices, manual Work orders).
Produce compliance reports from fleet software systems to show job status and outstanding tasks.
Upload Asset documentation into the fleet software systems, manuals, R/A, servicing schedules, etc.
File signed off timesheets into the shared files.
Monitor workshop supplies, PPE, stock items, and breakroom supplies.
Create and maintain spreadsheets, word documents, and compliance records as requested, coordinating common documents with other administrators and coordinators in the QF business.
Streamline systems and processes to align with other BU administrators and continuously improve efficiencies.
Aid other administrators in the Qube Forestry business during days off.
Provide assistance to the workshop manager and the SA/Vic Service manager as required.
Attend meetings and take notes with follow-up action points.
Assist with travel requests, booking hotels, cars, etc., through Egencia.
Travel to other operational sites as requested to attend meetings.
Maintain and monitor the QF shared drive.
Assist with requests from the management team for guidance on computer systems such as Excel, Outlook, and Word documents.
Develop and maintain the fleet maintenance business plan in line with branch and corporate business objectives.
Monitor and report on the progress of fleet maintenance programs in relation to budgets, delivery timelines, and services as required by the Service Manager.
Provide a weekly maintenance/service report to the Service & Transport Manager for review.
Promote safe work environments by conducting safety audits, attending monthly safety committee meetings, and meeting with individual staff members.
Qualifications and Experience

Relevant experience in a similar position.
Sound computer skills.
Experience with Mainpac is highly valued.
Current Driver's license.
A professional and positive attitude when dealing with people at all levels.
Excellent communication skills – written and verbal.
The ability to continually prioritize and deliver quality data on time.
Innovation and idea generation in relation to logistics issues.
