The roleWe have a rare opportunity for a Property Operations Assistant to provide operational support to the Asset Management team, with the view to move into an Assistant Operations Manager role over time.
The Property Operations Assistant, in conjunction with their interstate counterparts, provides a cohesive, smooth and efficient management of operational support functions within the Office Operations team across a number of our Melbourne CBD assets.
The Property Operations Assistant is an extremely well organised, professional and self-motivated individual who is confident liaising at senior management level, flexible and approachable and can work both autonomously and as part of a team.
The Property Operations Assistant may also provide physical asset support for annual leave coverage as required.
What you will be doingConducting accounts payable activities, raising purchase orders, processing invoices, requesting statements from contractors and tracking payments.Assisting with the ongoing management of scheduled work requests by following up any missing or delayed service reports or documentation from service providers that are inhibiting timely close out as well as completing and submitting vendor maintenance forms.Assisting the Operations team with ongoing management of the file structure to ensure portfolio wide consistency and ensuring filing of reports are consistent with requirements of set guidelines and sites are prepared for scheduled audits.Managing and co-ordinating key Operations Meetings, including booking of meetings rooms and administering minutes of meetings as required by the operational team.Developing high-quality presentations and draft reports, letters where required to assist Operational team.What makes you stand outYou would ideally be Tertiary or trades qualified, with relevant prior experience in a facilities role within a commercial asset and have strong relationship building skills.
You will have a keen interest in property management, excellent attention to detail, organisation and prioritisation and a customer first approach.
