The Property Coordinator – Terminals plays a crucial role in providing tenancy support and administration for Melbourne Airport's Terminal property portfolio. This position works closely with the Asset Managers to oversee a diverse portfolio of over 400 leases, ensuring compliance with all relevant statutory and Melbourne Aiport tenancy requirements. The role is central to maintaining smooth operations within the terminals, managing tenant relationships, and supporting the ongoing success of the property portfolio through effective administration and coordination.

Key responsibilities: The role's duties and accountabilities include, but are not limited to:
Assist with preparing commercial offers and formal contract documentation. Coordinate operational and administrative tasks for new and vacating tenants. Support tenancy works processes, including APAM and ABC approval, delivery coordination, and security access. Conduct lease inspections and facilitate inspections as required. Monitor tenant billings and address any billing escalations. Collaborate with Asset Managers to proactively manage tenant relationships. Administer lease obligations to support Airport Planning and capital projects in line with APAM's strategic framework. Liaise with tenants regarding project works to minimise operational disruptions. Maintain and manage administrative tasks such as tenant contact registers, filing, and folder management. Monitor lease compliance and rectify any issues promptly. Provide governance and administration of lease agreements. Document and maintain Standard Operating Procedures (SOPs), issue Safety Alerts, and manage GIS mapping systems. Assist with portfolio reporting to track compliance and performance. Act as the key contact for tenants on lease-related issues and serve as an escalation point for operational matters. Seek and act on tenant feedback to improve service delivery. Collaborate with internal stakeholders across Commercial Property, Finance, and Aviation to enhance lease management processes. Contribute to team meetings, safety initiatives, and other activities aligned with APAM's values. The successful candidate will have: Experience in a property management co-ordinator or administrator role within a complex operating environment (e.g. airport, shopping centre or similar) Diploma or tertiary qualification in property management, business, commerce, project/asset management or similar is advantageous. Ability to develop long-term relationships and leverage successful outcomes in a tenant-facing property management role. Planning and financial skills including the ability to review and process invoices, time and resource planning. Excellent interpersonal skills, with the ability to communicate effectively to tenant customers and internal stakeholders
