The Opportunity
VicGrid is rapidly growing and changing to support delivery to pioneering projects for Victoria.
The Project Support Officer, reporting to the Director of Transition, plays a vital role in supporting teams across VicGrid to be ready for the next stage of the organisation and provides high-quality administrative support in a complex project delivery environment.
Key responsibilities include maintaining program registers, ensuring accurate data, coordinating meetings and workshops, and supporting program leads to complete actions.
What you will deliver Provide high-level administrative support to the Director, Transition Program and the broader program team including the coordination and preparation of sensitive documents and reports, diary management, taking meeting minutes, arranging meetings and other general tasks as required.Support program leads to develop and maintain detailed project schedules and proactively support and work with stakeholders to remove barriers to delivery.Build and maintain productive and positive working relationships with program leads and external stakeholders, managing competing stakeholder needs, lead meeting and workshop scheduling, planning and administration.Support the implementation and maintenance of systems to manage information, reporting, records and document management databases to assist the team with electronic record management.What you will bring Strong administrative experience; a proven ability to be proactive and provide a range of confidential and highly sensitive delivery support services in a challenging project environment with competing priorities and needs.Well-developed stakeholder engagement capabilities; the ability to create trusting relationships, be proactive, collaborative and inclusive with exceptional interpersonal skills.Strong written communication skills, including the ability to prepare, edit and proofread correspondence, communications, presentations, reports, as well as the ability to develop and implement project plans and research, analyse and evaluate information.Experience in supporting the coordination of complex project teams in fast-paced environments including ability to work effectively with ambiguity; understanding of MS Project or other scheduling tools would be advantageous.What we offer you Career advancement and professional development opportunities.Annual salary increases and incremental performance-based payments over the course of your employment.Other relevant information:
