About the role The Project Support Officer is responsible for providing administrative and operational support to the Design and Project Management teams engaged on works with external clients to deliver projects related to distribution network infrastructure. The role will be responsible for assisting the team with the management and completion of the process steps required by the electricity distribution businesses. In addition, the role will also be responsible for managing data collation, capture and reporting on key metrics and to provide analytics and insight into performance trends, issues and improvements.
Your responsibilities include but are not limited to:
Assist in the preparation of Fee Proposals and contract administration in response to client requests using established pricing templates and letter templates;All administration tasks involved in establishment / setup of projects electronically in the Works Management Systems (Wrike);Engagement with the Distribution Businesses for project initiations, obtain relevant approvals and authorities to commence works;Engaging with the Distribution Businesses to attain design approvals, request audits, Statement of Compliance and final approvals;Track and report on key performance metrics across the department;Assist with projects milestone recording and updating in the Works Management System to analyse data and extract trends, identify issues and performance improvements where possible;Monitor and report on project status across the lifecycle;Provide regular reporting to Team Leaders on project milestone status;Support Designers and PMs when required to deliver on customer requirements;Assist Project Support team with work overflow andGeneral administrative duties e.g. meeting minutes and correspondence. Skills and experience The following qualifications and experience are sought for this role:
Preferably a Certificate/ Degree in Business Administration but not essential;At least 1 year experience in a similar role;Excellent organisation skills;Proactive manner – strong initiative;Relationship building skills – both internal and external (networks);Demonstrated experience in high level customer service;Experience in analytics and reporting – ability to capture and analyse data for results;Adaptable and Flexible;Responsive and Assertive.
