Department: OperationsEmployment Type: Fixed Term ContractLocation: JandowaeDescriptionThe Wambo Wind Farm Project (Project) is being developed by an unincorporated joint venture (UJV) between Cubico Sustainable Investments Australia and Stanwell Corporation.
The Project comprises two separate Stages, these being Stage 1 and Stage 2.
Each Stage has its own project team and Project Manager.The Project Site Administrator is responsible to perform support activities both clerical and technical in nature as required to assist the site project and commercial teams.
An example of the duties involved include document management, coordination and compilation of reports, providing administrative support to the site and commercial teams, and other activities of a similar nature which may be required from time to time.The role is site based and reports to the Stage 2 Project Manager.
However, the role will equally serve both projects and project teams.
Accordingly, there is a dotted reporting line to the Stage 1 Project Manager.
The role will also provide support to the Project Director as required.The position requires some experience in a technical environment with strong background in computer applications and Project Data and Collaboration Systems (PDCS) such as InEight, Aconex or similar.Key ResponsibilitiesDocument control and managementRFI coordination in conjunction with the Owner's Engineer and Independent EngineerSupport the Commercial team through preparation of basic correspondence, tracking claims and variations, notices, coordinating and tracking approvalsDeveloping and maintaining project and commercial registers and trackersPrepare correspondence, presentations and/or reportsSupporting the team in preparation and submission of project documentation to internal and external stakeholdersFiling - electronic and hard copyDevelopment and maintenance of technical lists such as phone/email lists, project related formsDevelop and maintain meeting, activity schedules and leave schedules for project personnelPurchasing of office supplies, safety equipment and sundriesArranging training for the project team as requiredSupport the project team in travel arrangements and expenses claimsSetup and maintain both electronic and hard copy filesPrepare correspondence, presentations and/or reportsScan and copy documentsSetting up meetingsManage and coordinate any on/off site functions and visitorsCoordinate inductions with the ContractorCoordinate any JV meetings and communications as requiredOther activities which may from time to time be requiredCoordinate meetings, take and issue meeting minutes as requiredSkills, Knowledge And ExpertiseHigh School degree, additional training is a plus, specifically in computer/software.Familiarity with working in a technical environmentProven related experience preferredEffective computer skillsCommunication skills, both verbally and in writing, to enable clear and effective interaction with superiors, colleagues, and individuals inside and outside the ProjectEffective analytical and problem-solving skillsProven ability to multi-task and work productively in a high-volume environmentDetail oriented, meticulous, results driven, able to work semi-independently, ability to work well in a construction office environmentKnowledge and skills relevant to a Construction office performing technical tasks and/or assisting with technical and general tasksComputer proficiency including Word and Excel as a minimumAbility to work under pressure and to tight deadlinesHolder of construction industry 'White Card' or similar#J-18808-Ljbffr
