ABOUT THE ROLE  Project Management Prior to commencement of works, participate in project handover with the estimating department, ensure that tender is reviewed with budgets prepared, approved, entered into IFS and communicated to applicable personnel.
Gain an understanding of each contract, time bars and any other relevant information required for the successful execution of the contract.
Where required under the contract, source quotes and arrange for the necessary contract works insurance and securities to be provided to the client/representative.
On an ongoing basis, monitor all items against budget, reporting any budget discrepancies to the Commercial Manager and assisting in rectification methodologies for anticipated budget shortfalls.
In conjunction with the Construction Manager / Site Supervisor, prepare construction program(s) ensuring primary resource points (Trim, Fill, Paver & Pipe) are correctly allocated.
These resource requirements are to be communicated through the PM team in a forum on a weekly basis with the Construction Manager to identify clashes and resolution.
Monitor the daily programming of all site works ensuring construction program(s) are updated on no less than a weekly basis.
On an ongoing basis, liaise with the Commercial Manager in relation to the current status of each project.
Remain continually alert to any potential / alternative methods of completing tasks with a view to benefiting the project.
Plan the procurement of materials and sub-contractors well in advance ensuring construction activities are not jeopardised or impacted in any way.
Maintain regular contact with Clients / Client's Representative with a view to keeping them up to date with the progress of projects and resolving any issues that may arise (eg potential EOT's & variations).
Ensure that all project specifications & guidelines /eg council standards, RMS specifications, etc are understood and adhered to at all times.
Co-ordinate "Fortnightly Progress Meetings" with Site Supervisors ensuring meeting minutes are promptly forwarded to the Commercial Manager and actions assigned to team members for execution and close out.
Project Administration Ensure the timely verification / processing of all invoices, making a deliberate effort to have them cleared out at the conclusion of each week.
Invoice disputes to be followed up with Payment Schedules in line with the Security of Payments Act and diligently followed up as required.
Ensure all project documentation is prepared / completed in accordance with the Company's Integrated Management System (IMS).
Ensure variations and extensions of time are identified, prepared, approved and submitted in accordance with contract requirements, keeping the Company Registers up to date at all times.
Ensure all draft claims are entered into IFS and issued to the client no later than the last working day of the month or earlier, as determined by the contract.
Monitor the progress of each draft claim with a view to gaining client approval and the receipt of a payment certificate in accordance with contractual entitlements or better.
Keep the Commercial Manager informed and abreast of disputes relating to variations, EOT's and other contractual items as they arise.
Prepare and submit Monthly Report(s), ensuring any budget discrepancies / variations are fully substantiated.
Prepare and submit updated Monthly Project Forecasts to the General Manager ensuring changes to the program and scope of works are accurately reflected.
Ensure all project correspondence (inclusive of quotes) is correctly saved in the respective job folders located on the server.
Quality Gain a full understanding and working knowledge of the Company's Quality Management System.
Ensure all relevant quality documentation is completed in accordance the Company's Integrated Management System (IMS).
IMS developed project checklist to be completed prior to project commencement and acquiring necessary information/documents including survey control, DTM/Linework, CC drawings, etc.
Prior to the commencement of each stage of construction, gain an understanding of the relevant project specifications and drawings, ensuring requirements are accurately reflected in ITP's.
Liaise with Site Supervisors to ensure that all site-specific quality systems are adhered to by all site personnel.
Prior to subsequent activities taking place, review ITP's with the Site Supervisor with a view to ensuring their satisfactory completion (inclusive of sign off's and attachment of all relevant documentation).
Safety / Environmental Management Gain a full understanding and working knowledge of the Company's WHS&R and Environmental Policies and Procedures.
Liaise with the EHS Officer(s) with a view to monitoring adherence to the Company's WHS&R and Environmental Policies and Procedures.
Ensure all relevant safety / environmental documentation is completed in accordance the Company's IMS and any contractual / site specific requirements that may apply.
Ensure that any incident is formally documented and forwarded to the Company's EHS Officer(s) for review and appropriate action.
Keep the General Manager & Commercial Manager informed of any incidents and hazards identified.
People / Sub-Contractor Management Take a positive/pro-active approach to the coaching, mentoring & training of Project Engineers with a view to developing them in their positions.
Ensure that all information relevant to the progress of the project is communicated to site personnel enabling them to effectively carry out their functions.
Participate in the completion of probationary period reviews and KPI assessment of Project Engineers within Company specified time frame.
As required, become involved in relevant personnel matters including termination and counseling of direct reports.
On an ongoing basis, monitor the progress of sub-contractors (via the IMS Evaluation documentation) in order to determine suitability for future work.
Prior to the commencement of each construction activity, ensure all sub-contractor documentation (safety, quality & environmental) is obtained and reviewed for inclusion in project documentation in accordance with the Company's Integrated Management System (IMS).
Ensure Sub-Contractor Agreements are prepared and executed in accordance with the Company IMS requirements.
Check that all subcontractors engaged are part of the JKW Approved Suppliers list and, where they are not, ensure that they complete all requirements as part of SinePro to have them conduct works onsite.
Ensure Claims Certificates are generated / issued for all progress claims from applicable sub-contractors.
Cross Functional Support / Training Be prepared to offer support and assistance to Company Personnel as required / requested.
As required / requested, be prepared to carry out other duties and responsibilities.
As required, become involved in on the job training of others.
Participate in any other relevant / appropriate training programs as requested by the Company.
Stay informed and up to date with industry changes and current technologies available in the industry.
Where requested, participate in industry and networking forums / events.
Make a deliberate effort to share topical information (including but not limited to alternative suppliers, sub-contractor reviews etc) with colleagues.
The successful candidate will need to have a Bachelor's degree in Civil Engineering, General Construction Induction Card ( White Card) along with drivers licence.
You will also need to have a sound understanding of WHS and have strong knowledge of Microsoft excel and Project.
Prior experience with IFS Software would be a strong advantage.
