Your Responsibilities As our Project Manager, you'll play a pivotal role in ensuring projects run smoothly from start to finish, maintaining high standards and building strong client relationships. Key responsibilities include:
Project Coordination & Scheduling • Schedule active and upcoming projects using Monday.com
• Coordinate with a variety of different contractors
• Manage project timelines, communicate updates, and adjust resources as needed to keep operations running smoothly.
Client & Staff Management • Serve as the primary contact for future clients, discussing start dates and schedules and addressing inquiries.
• Conduct regular check-ins with clients to ensure satisfaction and address any needs that arise.
• Oversee staff attendance, timesheets, and uniform standards, ensuring a professional team presence.
• Hold regular meetings with the painting crew to review project progress, goals, and any necessary adjustments.
Documentation & Reporting • Enter project data and manage staff timesheets in Xero.
• Prepare and present weekly or biweekly KPI reports, tracking project statuses, completed tasks, upcoming milestones, and potential risks.
• Conduct comprehensive project reviews upon completion, documenting key learnings and improvement areas.
Quality Assurance & Site Management • Conduct site visits to verify work meets our company's high standards and aligns with client expectations.
• Oversee project handovers with a checklist and photo coordination, ensuring a professional and satisfying client experience.
Client Relationship Building • Build rapport with clients through regular phone check-ins, managing satisfaction by proactively addressing concerns.
• Encourage positive Google Reviews and recognise project milestones, maintaining high customer service standards.
About You • Proven experience in the industry, ideally within a trade, construction, or project-based environment.
• Exceptional organizational and problem-solving skills, with the ability to adapt and adjust resources as needed.
• Strong communication skills and a customer-focused approach.
• Familiarity with project management software (such as Monday.com) and CRM systems (HubSpot experience a plus).
• Driver's license (for site visits with the company car).
