Role Overview: The Project Coordinator will support the planning, execution, and monitoring of projects to ensure they meet deadlines, budget requirements, and quality standards.
This role involves coordinating across teams, maintaining project documentation, managing schedules, and tracking progress.
You'll work closely with the System and Innovation Manager (Project Manager), stakeholders, and team members to ensure smooth and successful project delivery.
What You Will Do: Project Planning & Scheduling: Assist in creating and maintaining project plans, timelines, and schedules, ensuring all tasks are clearly defined and assigned to the appropriate team members.
Documentation & Reporting: Maintain accurate project documentation, including meeting notes, status reports, and project updates.
Prepare regular project status reports for stakeholders.
Resource Coordination: Coordinate resources, both personnel and materials, to ensure project requirements are met efficiently.
Identify and address any gaps in resources.
Communication & Collaboration: Act as the primary point of contact for project-related enquiries, facilitating clear and timely communication between team members, clients, and stakeholders.
Risk & Issue Management: Track project risks and issues, escalating them to project managers when necessary, and work to proactively address challenges that may impact timelines or budgets.
Requirements Gathering & Process Mapping: Assist the Project Manager with gathering project requirements and mapping processes to ensure clarity and alignment among project stakeholders.
Quality Assurance: Assist in quality control throughout the project lifecycle to ensure deliverables meet company and client standards.
Meeting Coordination: Schedule and facilitate project meetings, prepare agendas, take detailed minutes, and ensure follow-up on action items.
What we are looking for: Bachelor's degree in Business, Project Management, or a related field (or equivalent work experience).
Minimum of 1-3 years' experience in a project coordination, project support, or related role.
Knowledge of project management methodologies (e.g., Agile, Waterfall).
Strong proficiency in Microsoft Office Suite (Excel, Word, Power Point) and project management tools (e.g., JIRA, Trello, Gantt Charts, MIRO, Asana, Microsoft Project, etc).
Excellent organisational skills with strong attention to detail.
Effective verbal and written communication skills, with the ability to work well with cross-functional teams.
Problem-solving skills and the ability to prioritise and manage multiple tasks in a fast-paced environment.
