As our Project Coordinator you will be an integral part of our project management team, responsible for supporting and coordinating project activities to ensure successful execution. You will collaborate with various stakeholders, including clients, project managers, consultants, and contractors, to ensure projects are delivered on time, within budget, and to the highest quality standards.

Key accountabilities include: Assisting project managers in planning, organising, and executing multiple projects simultaneously, from initiation to closeout.
Maintaining project documentation, including project plans, schedules, budgets, contracts, change orders, and other relevant records.
Facilitating effective communication between project team members and stakeholders through regular updates, progress reports, and meetings.
Coordinating and scheduling project-related meetings, site visits, inspections, and conferences. Preparing meeting agendas, minutes, and following-up on action items.
Supporting the project team in monitoring project budgets, expenses, and invoices. Assisting in preparing cost estimates and financial reports.
Helping with contract management activities, including bid proposals, contractor selection, contract execution, and compliance.
Identifying potential project risks and assisting in developing risk mitigation strategies. Ensuring compliance with safety regulations and industry best practices.
Fostering positive relationships with clients, consultants, contractors, and other project stakeholders. Address their inquiries, concerns, and requests promptly and professionally.
Contributing to the development and implementation of project management best practices, tools, and methodologies. Identifying process inefficiencies and proposing solutions for enhanced efficiency and productivity.
Tenancy and property condition reporting, including site inspections, visual condition assessments and reporting.
Undertaking tenancy fit out reviews, including coordination of consultants, tenancy coordination, stakeholder management and approval process management.
Before you apply it's also worth knowing what we are looking for: Proven experience as a project coordinator, assistant project manager, contract administrator or similar role in the construction or real estate industry.
Strong organisational and multitasking abilities, with excellent attention to detail.
Proficiency in project management software, such as Microsoft Project, Mastt, Procore or Aconex, and MS Office Suite.
Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse teams.
Knowledge of construction and project management principles, practices, and regulations.
Demonstrated ability to work independently, prioritise tasks, and meet deadlines.
Flexibility to travel to project sites, as required.
