The Opportunity Join us in this great Project Coordinator role based in our Ann St Brisbane office, working within our Fibre Operations team. This role reports into the Construct Team Leader and will play a key role in coordinating project governance processes and managing projects that improve the performance of the Project Managers.
The ideal candidate will have a passion for process and project performance through continuous improvement and data analysis, as well as a drive to deliver the best outcome for the problem presented.
What you'll be doing day-to-day Reviewing data in various systems for accuracy and consistency and resolving data issues. Export, collate, and analyse project and process data against metrics to produce various performance reports, identify outstanding tasks and drive to completion.Manage project and operational documentation (templates, process documents, specification and reference documents), applying document control standards and ensuring all stored and easily accessible. Maintaining shared folders and that everything is in the right place.Manage risk, change, and issue processes, including maintaining registers and storing relevant contextual information and files; configuration management of files issued to contractors.Track and coordinate improvement projects, including maintaining improvement backlogs and roadmaps, coordinating prioritization and resource allocation, obtain commitment dates from resources and drive to those dates as well as preparing project plans and reports as required.Support project closure processes including reviewing closure documentation, budget closeout, and facilitating PIR/retrospectives. Conducting regular reviews of closed projects for missed tasks and drive to completion.Support contract/contractor management through managing key communications, agreements and documents for easy reference, managing meeting inputs and outputs and owning key dates for the contractors and internal staff, ensuring closure of actions and continuity of data from meeting to meeting, weekly and monthly reporting requirements, materials and logistics queries, and onboarding/offboarding activities for contractors and their technicians.Administration tasks, including managing shared calendars and meeting series, taking minutes and driving actions to speedy completion; raising POs, validating invoices and receipting.Perform other tasks to support the Vic or national team as required.What you'll bring to this role Ideally suited to someone with 3+ years experience in a PMO or project analyst role, or possibly an EA/PA/TA in a project environment undertaking similar tasks.Outcome oriented with a focus on process through-put rather than tasks and handoffs.Comfortable working with datasets comprised of multiple projects of varying sizes and from various sources and guiding project managers to provide the right information into the data sources.Ability to set realistic dates and motivated to drive resources to those dates whilst assuring quality of output.Experience with project management governance processes in any methodology.Exceptional Excel skills and able to build reports in various tools to get the right data output.A keen eye for inconsistencies and errors.Ability to define problems, find root cause and undertake options proposal and analysis to fit for purpose outcome.Able to scale methods to provide the right level of structure in a changing environment.What We Offer Working at Vocus will give you rewarding experiences and the opportunity to do extraordinary work.
