This position provides administrative support to our Canberra-based Regional Manager and coordinates the day-to-day operations of our Canberra office. We seek a proactive, organised, and resourceful individual capable of delivering support, office coordination, and various project administrative tasks. The role demands continuous identification of process improvement opportunities in support, office operations, and administrative functions, along with the implementation of solutions and best practices to boost productivity.
You will play a crucial role in our national administration team, supporting administrative and project tasks across the organisation. You will collaborate effectively and engage with various stakeholders, including employees at all levels, the administration team, customers, external providers, and agencies.
Key Responsibilities: Word processing tasks, including proofreading, editing, and formatting of a variety of documents from letters and proposals to large, complex, multi-volume reports in accordance with the Umwelt style guide and templatesDelegating or being delegated tasks within the administration team and ensuring that they are completed in accordance with existing policies and procedures as well as the Quality Management System processesLiaise with employees, vendors, clients, and suppliers regarding all administration informationSupporting employees by facilitating interdepartmental communications and interactions between internal and external partiesAssisting with special projects, such as process improvementsProvide assistance to staff, managers, and senior-level officers as neededWorking in accordance with timelines and tasks supplied via the Administration Ticket Desk in Umwelt's SharePoint systemDiary management for senior leader in the Canberra officeScheduling, attending, and taking minutes in team meetingsExpense and timesheet allocationTravel bookings and mobilisation assistance including induction requirementsProviding general administrative support to the Canberra team and to other teams/offices as directed by the National Administration ManagerUndertake data entry, mail merge tasks, and PowerPoint presentationsAbout You: The successful applicant for this position will be a highly motivated and enthusiastic Administrator experienced in the below areas:
