Some of our projects include hotels, high-rise residential & commercial towers, hospitals, universities, retail, major sporting facilities, data centres and government & defence projects.
The Opportunity
We're offering an exciting full-time opportunity for a Project Administrator with strong administration skills, to support our projects team across a variety of construction projects.
Reporting to the Project Coordinators and Management team, this varied role is crucial to the success and efficiency of the projects and business operations.
We are looking for an organised and proactive individual who has a keen eye for detail and can use their initiative to ensure they are on top of the administration requirements across all projects.
You'll be based in the head office located in Alexandria and will visit construction sites across Sydney when required. The role is offering a remuneration of $70,000 plus superannuation.
Your key responsibilities will include but not be limited to:

Assist with the delivery of various construction projects
Manage paperwork associated with contracts, programs, projects and services provided
Collect and analyzing data associated with projects
Coordinate project correspondence, resources, scheduling, materials delivery and information
Coordinate daily client service requests and ensure they are fulfilled by the projects team
Work with the Project team and site Supervisors to eliminate blockers and day to day issues
Assign tasks to team members and communicate expectations for project milestones and deliverables
Prepare all project folders with drawings, scope of works, budgets, sign off sheets, safety forms and documentation
Maintain operational systems and review and update processes
Support the project team with admin tasks, inductions, safety documentation, rostering and labor budgeting etc
Coordinate all staff and subcontractor project inductions and site bookings
Order materials and inventory and review and submit invoices
Coordinate quality assurance site inspections, analyze data and provide reporting
Support the project team with quality assurance processes
Coordinate project team meetings and ensure actions are followed up
Review and submit timesheets of cleaning staff across projects and correct discrepancies
Assist with on-boarding new cleaning staff, monitor and report on performance
Maintain and update project related databases and spreadsheets
Implement initiatives to improve internal processes and operational capability across projects
Implement safety training processes and create presentations for on site staff
Assist with collating and preparing project reports for the management team

About You
To be successful in this role, you will have;

At least 2 years of experience in a similar role within the construction industry
Tertiary or TAFE qualification in business administration or project related focus
Strong understanding of project administration
Tech-savvy and proficient in Microsoft 365 applications
Strong planning and organizational skills to deliver projects and outcomes
Highly developed interpersonal and communication skills
Good analytical and reporting skills
Takes initiative and a strong desire to add value
Strong time-management skills, attention to detail and prioritization
Demonstrated adaptability and resilience in a fast-paced work environment
Professional and positive can-do attitude
Strong work ethic, demonstrates initiative and is deadline driven
Honest, motivated and enthusiastic team player
