Job Title: Project Administrator Location: Darwin Northern Territory, Australia Company: Our client is an environmental consultancy specializing in water, ecology, monitoring, approvals, rehabilitation, land development, and weed hygiene.
Position Overview: We are seeking a motivated and detail-oriented Project Administrator to join our client's team.
The successful candidate will provide essential administrative support for major projects, ensuring efficient operations and compliance within our environmental consultancy.
This role involves financial tracking, invoicing, document control, and broader administrative support as directed by the General Manager.
Key Responsibilities: Project Documentation and Reporting: Prepare, maintain, and update project documentation, including contracts, plans, schedules.
Track project milestones and deliverables.
Assist in the preparation of project status reports and presentations for internal and external stakeholders.
Communication and Coordination: Facilitate communication between project team members, clients, and stakeholders.
Schedule and coordinate project reviews.
Respond to project-related inquiries and provide timely updates to the team.
Budget and Resource Management: Assist with project budgeting by tracking expenses.
Coordination and integration of subconsultant scopes and budgets.
Quality Control and Compliance: Ensure that all project activities are performed in accordance with organisational policies and procedures.
Attend the internal Quality, Safety and Environment team meetings and manage internal audit functions.
Administrative Support: Provide general administrative support to project teams.
Maintain project calendars, deadlines, and timelines to keep the project on track.
Support the GM in reviewing and updating procedures and processes.
Qualifications: Proven experience in project administration or a similar role, preferably in an environmental consultancy.
Excellent organizational and administrative skills, with a keen attention to detail.
Ability to work towards deadlines and prioritize workload effectively.
Strong interpersonal and stakeholder engagement skills.
Proficiency in Microsoft Office applications (Word, Excel, Power Point) and the ability to learn new software quickly.
A proactive approach to problem-solving and a strong commitment to quality.
