Project Administrator / Executive AssistantCBD Darwin NT based (Charles Darwin Centre)The Paspaley Pearls Group (PPG) was founded in 1952 and is a family-owned group of companies. Paspaley's core business is in pearling, including pearl production, wholesale, and retail but the Group also has interests in other sectors including ship repair and engineering, aviation, agriculture, hospitality and commercial property.Reporting directly to the Chief Operating Officer (COO), the Project Administrator / Executive Assistant position is a newly created dual-purpose role, although predominantly concerned with project administration as it has come about due to a rapid increase in various new projects being undertaken by Paspaley and the need for extra executive administration support.This is an exciting opportunity for an articulate, enthusiastic and highly motivated person with an analytical mindset who by nature is exceptionally organised, with strong all round communication skills, to utilise their real ability and experience to proactively engage and multitask within a very dynamic environment.Initially Project Administration tasks will mainly be associated with admin support around the Darwin Ship Lift project.The successful candidate will be responsible for:Providing executive administrative support for internal and external project meetings, including meeting coordination, drafting correspondence and briefs, preparation of minutes and agendas, submissions and report generation as required.Assisting with the delivery and development of project documentation including ensuring physical hard copies, online systems and databases are accurately managed, updated, controlled, filed and accessible to relevant stakeholders. Documents include plans, specifications, scopes, registers, programs, policies, procedures, reports etc.Working both autonomously and with others in the project team including internal and external stakeholders and consulting technical specialists.Organising and supporting the COO's day to day executive requirements as required.Essential Qualifications, Skills and Experience:Must be tertiary qualified or the equivalent.Must have a minimum 5 years' experience within an executive and or project management environment.Must have a high level of proficiency in Microsoft Office and other office productivity tools, with an aptitude to learn new software and database systems.In addition to the above, we seek a person with a bent for accuracy, a strong attention to detail, a proactive approach to problem solving and a willingness and capability to perform other duties as deemed appropriate and consistent with your professional qualifications, skills, or experience.It is essential that the successful applicant understands the requirements around confidentiality and discretion in respect of the handling of information.To suit the successful applicant's present lifestyle commitments, Paspaley is prepared to offer the right candidate a flexible working arrangement working Monday to Friday inclusive on either a full time or part time arrangement.You must be an Australian citizen or permanent resident with full rights to work and reside in Australia and a current valid Australian Driver's license.Applications outlining your experience should be addressed to the Chief Operating Officer ****** prior to Friday 25 October 2024.
