Program & Events Coordinator – Ongoing, Full Time (5 days per week) AFTRS is the national screen and audio school – the only Australian education institution to consistently make The Hollywood Reporter's prestigious annual list of the top film schools in the world. Working hand-in-hand with the screen and broadcast industries, AFTRS is a global centre of excellence that delivers the highest level of screen and audio education, training and research across Australia. We are looking for a passionate Program & Events Coordinator to provide support to the Project Management Office and Events Team, and coordinate programs and events that positively promote, connect and position AFTRS to different audience segments. These events may be onsite, external, hybrid or online.
This role will apply project management best practice to support the Program & Events Manager in the delivery of key strategic, internal and external events and programs. This is a dynamic role with administrative, organisational and hands-on event delivery elements. You will work with different teams to deliver creative, inclusive, and accessible events and initiatives for potential and current students, alumni, industry, staff corporate partners and the general public.
This role also manages the Hire of AFTRS Facilities for AFTRS Alumni, Industry Members, Partners and external stakeholders, involving taking bookings, managing contracts, invoicing and payment, stakeholder management, technical and crew resourcing, and onsite event delivery.

About the role: As the Program & Events Coordinator at AFTRS, you will: Work with the Events Team, alongside the Project Mangement Office, to provide high-level administrative support, ensuring project management best practice is followed, for the coordination and delivery of events. This includes resourcing, contract administration, budget and accounts administration, creation and document control of run sheets, invite lists, risk assessments, accessibility guides, agendas, reports, communication management and high-level stakeholder management.Be a primary point of contact for staff, students, alumni, industry members, partners and external stakeholders answering queries about events, seeking out information and referring on when necessary.Manage the Hire of Facilities Process including stakeholder management, small-scale event management, booking resources, timeline management, budget administration, event support and contracts management, as well as identifying and actioning process improvements.Employ general AV technical equipment knowledge to effectively liaise with event team staff and crew, contractors and venues.Source and supervise external specialist contractors and prepare appropriate contracts, ensuring they are introduced appropriately to the AFTRS code of conduct, charter and values, WHS requirements and understand expectations regarding their contract obligations (i.e., type, hours and conduct).Identify opportunities for improvement and implement processes to streamline event delivery across the school.Stage management of small-scale events both within the school and externally as required.Liaise across multiple divisions in the planning and execution of events including teaching faculty, research staff, students, industry and others.Represent Events at relevant meetings and work to encourage continued collaboration with other divisions.Create and maintain culturally and psychologically safe learning & working environments.***** ***** ***** ***** ***** About you – you have: Demonstrated hands-on event co-ordination or event production experience.High-level attention to detail and exceptional organisational skills with the proven ability to work proactively under pressure, with limited supervision.Ability to build rapport with a wide range of stakeholders, engaging them towards successful production and partnerships and exercise sound judgement and initiative.High-level problem-solving skills including the ability to deal positively with and triaging d issues from students, staff, industry partners and externals.Willingness to work flexible days, including the occasional evening and weekends depending on the needs of the event schedule.Experience in creating and maintaining culturally and psychologically safe learning and working environments.Possess or willingness to obtain a First Aid Certificate.***** ***** ***** ***** ***** It is mandatory to hold a current Australian Citizenship or Australian Permanent Residency at the time that you apply for this position.
