Primary objective Working as part of the Digital Project Services (DPS) administration team providing support to the DPS Executive team and services to the programs and project initiatives across the Division.
Context statement Digital Project Services (DPS) delivers very complex, high value, and high-risk ICT programs and multi-year digital transformation initiatives for core frontline services through an inter-agency collaborative approach.
Working closely with the client agencies, the team comprises public sector employees and contractors working together to deliver multiple streams of activity as programs are implemented.
The work environment is dynamic, fast-paced and results-driven with high expectations of superior service delivery.
Key duties and responsibilities Provide efficient and effective administration support to the Executive team within DPS as directed including diary management and scheduling, booking travel, and various other project support activities.Participate as a proactive member of the DPS Administration team contributing innovative ideas and solutions to all aspects of the business to ensure the program and project teams within DPS are supported.Assist with the management of generic email accounts ensuring requests are actioned or redirected and information is distributed in a timely manner as required.Process travel arrangements and manage credit card and cab charge transactions using NTG systems.Create purchase orders and process transactions in NTG systems ensuring the delegations and procurement policies are adhered to as required.Maintain workbooks, information records, procedures, and data on NTG systems.Assist with arranging and coordinating venues and equipment for training, meetings and workshops as required.Selection criteria Essential Demonstrated experience in providing high level administration support in a fast-paced work environment.Proven organisational and time management skills with the ability to use initiative, set priorities, meet deadlines, seek guidance as needed, and work under pressure with a flexible approach in an ever-changing environment.Well-developed written, oral, and interpersonal skills with attention to detail.Demonstrated ability to interact effectively with people of diverse cultures, work with limited supervision using sound judgement, initiative, lateral thinking, and problem-solving capability.Demonstrated knowledge and experience booking travel including accommodation, reconciling purchase orders and invoice payments in NTG systems, ensuring compliance with relevant legislation, delegations, policies, procedures, and organisational guidelines.Proven skills in the effective use of computers and office equipment as well as software and NTG systems such as Content Manager and Microsoft products.Demonstrated work ethic and attitude which emulates DCDD values of being professional, accountable, honest, respectful, and innovative.Desirable Proven experience or qualification in relevant fields such as business administration, ICT and finance or project methodologies.Further information Additional inclusions may include further information that is relevant to the vacancy, for example, criminal history checks, flexibility in starting dates, requirements for travel, etc.
