Our newly opened, state-of-the-art clinic in Wollongong, situated in the stunning Illawarra region of NSW, presents an exciting opportunity for a Process and Administration Lead. This newly created role offers the chance to work with experienced professionals in a collaborative and supportive team environment.
This position plays a pivotal role in streamlining business processes to improve efficiency, align with organisational goals, and ensure consistent, outstanding customer service. Expertise in compliance with NDIS and healthcare standards is essential, alongside a commitment to delivering quality patient care.
Key Responsibilities Process Management Assess and optimise existing workflows to improve efficiency and eliminate bottlenecks.Collaborate with administrative teams to streamline approvals and sales processes.Align patient care and administrative operations with ERP software (SAP B1).Develop and implement cost-effective administrative procedures.Partner with clinicians and management to design and execute process improvement initiatives.Educate staff on updated processes and maintain detailed procedure records.Monitor and report on key performance indicators (KPIs) for administrative and customer service teams.Conduct regular procedural reviews to mitigate risks and enhance process effectiveness.Quality Assurance and Audits Implement measures to ensure compliance with funding requirements.Prepare for and support audits conducted by funding entities.Address audit findings and implement corrective actions.Funding Management Stay informed about funding regulations, including NDIS and other associated funding.Ensure compliance in all funding-related processes and documentation.Communicate funding changes to staff and provide necessary training.Oversee billing processes and ensure adherence to pricing protocols.Monitor funding allocations, reimbursements, and financial reporting.Communication and Stakeholder Engagement Act as a liaison between clients, NDIS participants, support coordinators, and funding authorities.Foster effective internal and external communication.Represent SPAO professionally in meetings and discussions on funding and compliance.Qualifications and Experience Education: Bachelor's degree in business management or a related field or;Certification/qualification in healthcare administration or a similar discipline.Experience: Minimum 4 years in process management with strong administrative, bookkeeping, or accounts experience.Proven expertise in healthcare administration and customer service management.Experience/knowledge in development and implementation of quality systems.Comprehensive knowledge of funding regulations, particularly NDIS.Skills and Attributes: Strong analytical and problem-solving skills.Exceptional communication and stakeholder management abilities.Proficiency in business management software; experience with SAP B1 is advantageous.Ability to lead, train, and support teams, coordinate projects, and implement improvement strategies.What We Offer A supportive, collaborative team environment.Competitive salary package including base salary, performance bonus, and superannuation.Access to an Employee Assistance Program (EAP).Additional annual leave benefits.Birthday leave.A permanent, full-time position with opportunities for growth.Why Join SPAO?
