The role is responsible for the drafting of procedural scripts and preparing draft minutes of proceedings of Meetings of the Assembly, and for ensuring accurate record keeping and file retention of parliamentary documentation.
Context Statement: The Department of the Legislative Assembly provides the Northern Territory Legislative Assembly, its Members and Committees with quality and timely support for the operation of the Parliament, Parliamentary Committees, the Parliament House precinct, and Electorate Offices (and staff).
The Procedural Support Unit, which is part of the Parliamentary Support Division, is responsible for the drafting of procedural scripts, preparing draft Minutes of Proceedings of Meetings of the Assembly, processing Tabled Papers, and for ensuring accurate record keeping of parliamentary documentation.
They assist with the Assent process for legislation and work closely with the staff of Government House, Cabinet Office and the Office of the Parliamentary Counsel.
During Meetings of the Assembly, staff support the Chamber, sit as Clerks at the Table, and assist Members and staff with parliamentary procedure and practice.
Key Responsibilities: Provide administrative support to the Clerk Assistant in the operations of the Procedural Support Team.
Manage and maintain parliamentary content on the Department's internet and intranet sites and associated databases.
Prepare draft minutes of proceedings and Bills for Assent and develop procedural scripts for Members.
Participate and contribute to regular reviews of practice and procedure and propose innovations to processes.
Ensure accurate record keeping and file retention of parliamentary documents, including Tabled Papers.
Respond in a timely manner to requests for information regarding parliamentary business from stakeholders, including Government departments.
Selection Criteria: Essential: Demonstrated experience in managing a small but demanding, fast-paced team office environment.
Ability to work unsupervised and with attention to detail to undertake research tasks and to find and disseminate accurate and concise information to stakeholders.
Highly developed organisational skills with detailed knowledge of records management systems and processes for the recording, archiving and retrieval of documentation.
Written, oral and interpersonal communication skills and a demonstrated ability to manage confidential information.
Highly developed skills with the MS Office suite of programs, including the use of ribbons in macro-enabled documents, and experience in managing, maintaining and developing content on databases, and internet and intranet sites.
Desirable: Demonstrated knowledge or experience of parliamentary processes.
Requirements for Selection and Undertaking the Role: Prior to being formally offered a position with the Department of the Legislative Assembly, applicants will be required to submit a pre-employment declaration which includes information regarding their criminal history, conflicts of interest and other continuing employment or volunteer work.

Access to recreation leave will be restricted during Parliamentary sitting periods.
The position is based at Parliament House; however, will require travel throughout the Northern Territory and interstate at times.
The position requires the incumbent to undertake remunerated overtime hours during peak times such as Assembly sittings.
