You will lead and support an administration team of 12 support staff in the Australind and Collie clinics and support the leadership of our team of 15 practitioners across the 2 clinics.Reporting to the Practice Principal/owner, key responsibilities will include:Lead, inspire and mentor the administration team to perform at their highest, achieve their personal and profession goals, and create a great place to work.Conduct one on one mentoring sessions and performance reviews to address issues of sub optimum performance and dispute resolution, to ensure that we are aiming for the ultimate client experienceResponsible for the day-to-day administrative management of the practice.Rostering of administration team and Practitioner rosters in line with the operational requirements.Ensure appropriate documentation for credentialing, registration, insurance and contracts for all practitioners and team members are on record and kept up to date.Actively build relationships with referring GPs, specialists and other allied health professionals.Update and maintain all Practice Management and IT Systems and Internal Hub information.Ensure all practice policies, processes, procedures and systems are followed and assisting in updating where necessary.Report on KPI's (monthly) to the Practice Principal and provide insights to assist with Business and HR strategy.Assist with recruitment and identifying recruitment needs and report these to the practice principal.Have the difficult conversations! If someone is not performing, or not acting appropriately, be open and willing to have the hard conversations with a positive and caring approach.Assist in managing the financial requirements of the practice including payroll, payable and receivable accounts, and contribute to the overall financial health of the practice.Ensure compliance. For example: medicare, DVA and Private health, provider numbers and all other compliance requirements.Actively look for opportunities to improve, develop or streamline quality and service improvement processes throughout the practice with specific emphasis on the front desk and administration.Where required, assist patients to book, reschedule and cancel appointments, complete all relevant paperwork and understand clinic policies.Work closely with the Practice Principal, provide insight and advice on overall Business, and HR strategies.This is a Full Time position with attractive remuneration commensurate with your qualifications, skills and experience.About YouYou will be an experienced Practice Manager or Team Leader and have at least 3+ years' experience managing all aspects of leading a team.You enjoy problem solving and are solutions focused in a positive way and have excellent crisis management skills.You will have high levels of emotional intelligence, and excellent leadership skills to build and foster a culture of high performance and can foster positive and cohesive relationships across the team.With a love of working with people and excellent communication skills, you will be able to provide fair feedback and have fun within the team.You will enjoy building and nurturing relationships with team members, clients and our partners in the community.You will be confident, positive and passionate about high levels of customer service, with a history of going over and above to take care of your clients and employees.You will possess excellent IT skills, experience using practice management software and Microsoft 365 is desirable. You are happy to follow existing systems and processes whilst also providing input for innovation.You display a professional presence with patients and team members, adapting your communication style to your audience. You are flexible and can adjust to ever changing priorities.You will be friendly, caring and professional and someone who is reliable.
