About the Role
As Practice Manager, you will act as a key support to the Operations Manager, contributing at a strategic level. Leveraging your expertise in management, HR, and operations, you'll oversee clinical activities, lead administrative functions, and ensure our vision and values are reflected in outstanding client care and efficient business operations.
Key Responsibilities
Lead front desk operations, delivering an exceptional client experience. Manage and mentor a team of therapists and support staff, fostering engagement and high performance. Oversee high-level administrative responsibilities, including managing appointment bookings, cancellations, and new inquiries to optimise clinic schedules and maintain superior client service. Monitor KPIs, ensuring diary accuracy and operational efficiency. Delegate tasks to ensure deadlines are met and outcomes achieved effectively. Drive client booking rates and implement streamlined processes to improve operational workflows. Create team-building initiatives to nurture a positive, collaborative workplace culture. Maintain and manage client records with strict confidentiality and accuracy. Collaborate with the accounts/finance team to support financial management. Handle high-level client and stakeholder interactions professionally and promptly. Oversee onboarding of new staff, ensuring an organised, supportive experience. Conduct ongoing staff training, performance appraisals, and effective team meetings. Manage team holiday schedules proactively, balancing business and individual needs. Prepare regular KPI reports, contribute to collaborative analysis, and take ownership of implementing changes or new ideas. About You
Proven experience in practice and employee management within the healthcare or medical industry. Outstanding communication and organisational skills, with meticulous attention to detail. Tech-savvy, with proficiency in medical practice software (Halaxy experience is highly regarded). A mature, flexible mindset with the ability to pivot and solve problems proactively. Demonstrated discretion and professionalism, inspiring and leading teams to create a positive, productive environment. Experience managing budgets, financial reporting, and driving revenue growth. Knowledge of or experience with NDIS, Medicare, Private Health Insurance, or TAC (highly regarded). A confident leader with the ability to support decision-making and influence the organisation's strategic direction. How to Apply
