Administrative Assistants (Administration & Office Support) Positive Practices is a leading provider of specialist NDIS behaviour support services, committed to delivering high-quality, person-centred care. We are seeking a skilled and motivated Administration Officer to join our dynamic team. This role is integral to ensuring seamless service delivery and operational efficiency across the organisation.
Key Responsibilities Provide professional administrative services, managing correspondence, calls, and emails with internal and external stakeholders. Oversee financial processes such as billing, invoicing, and coordination with bookkeepers, using Xero and NDIS portals (myplace and PACE). Maintain organised filing and document systems in compliance with NDIS standards. Support audits by ensuring participant, staff, and organisational data is accurate and NDIS-compliant. Manage office resources, IT systems, and facilities, coordinating maintenance and upgrades. Assist with employee onboarding, preparing resources, IT systems, and maintaining accurate records. Provide administrative support for participant intake, onboarding, and exit processes. Coordinate logistics for meetings, training sessions, and events. Contribute to social media content creation and marketing campaigns. Provide IT support to staff and liaise with service providers for troubleshooting. Minimum Qualifications Advanced IT skills, including word processing, database management, and spreadsheets. Experience with payroll and finance systems, including Xero and NDIS portals. Ability to manage multiple priorities, meet deadlines, and work flexibly. Excellent interpersonal and communication skills across diverse stakeholders. High level of discretion and confidentiality in handling sensitive information. Understanding of NDIS compliance frameworks and data accuracy standards. Strong stakeholder relationship management, including working with individuals with disabilities and from diverse cultural backgrounds.
