Portfolio Management Officer Administrator

12 month contract Based in Canberra Paying up to $68 per hour +super The Department of Foreign Affairs and Trade is looking for a Portfolio Management Officer Administrator to assist the Security PMO within the Security Portfolio Section (SCP). This role involves providing administrative and secretarial support for various projects and reporting to the Assistant Director of the Security PMO. Key Responsibilities Organize PMO meetings, take minutes, and record proceedings during governance forums. Aid the PMO secretariat in the creation and management of governance documents and agendas. Keep records, manage project documentation, and input data for PMO reports. Communicate with the office, projects, and stakeholders about information requests, schedule updates, and reports. Assist senior staff while juggling multiple priorities in alignment with team goals and objectives. Prepare various project-related documents for stakeholders, including status updates, reports, budgets, and discussion papers. Manage the flow of information between the PMO and its stakeholders, and handle PMO mailboxes promptly. Skills And Experience A minimum of 2 years of experience in project management or a PMO role. APS 5/6 Equivalent. Familiarity with project management principles, including planning, monitoring, evaluation, and assurance. Strong written and verbal communication skills and experience in stakeholder engagement. Ability to quickly learn and adopt new digital skills and maximize the use of existing software. A positive, solution-focused attitude with a commitment to service delivery, attention to detail, and the ability to meet tight deadlines. Ability to work independently and as part of a small team, using initiative and resourcefulness while managing competing priorities. As this is a federal government role, you will need to be an Australian Citizen and you must hold an active NV1 Clearance to apply.
