The Portfolio Planning Manager will play a key role in effectively governing and managing our business portfolio, focusing on key activities such as the annual and quarterly planning processes.
This highly visible position involves collaboration with senior leaders and cross-functional teams to ensure successful portfolio planning and management, driving key strategic outcomes.
Additionally, the role will work with delivery teams and Agile Tribe leads across the Customer Success business unit and the broader Optus enterprise to develop and implement program strategies aligned with our strategic goals.
Please note, this is a 12 months fixed term full time, mid-level opportunity.
Key Responsibilities: Oversee the quarterly planning portfolio submission process, serving as a conduit to the EDO.
Ensure documentation of Post-Implementation Reviews (PIR) and best practices.
Support the AOP process by collecting critical data such as business cases, charters, and resource considerations.
Ensure proper documentation and maintain a repository for best practices and lessons learned.
Establish metrics for new initiatives that align with business cases, collaborating with the strategy team to validate assumptions and rigorously test the value metrics implemented.
Assess and prioritise projects based on potential value, associated risks, and alignment with business objectives.
Manage resource capacity and allocation across the portfolio to ensure teams possess the necessary skills and bandwidth for successful project delivery.
Identify resource gaps and recommend solutions.
Create and facilitate the quarterly roadmap review, evaluating outcomes and decisions to ensure that lessons learned are documented to support the initiation of new initiatives.
Identify potential risks and challenges within the portfolio and develop mitigation strategies.
Ensure project teams are equipped to manage risks effectively.
Continuously assess and enhance portfolio management processes and tools.
Implement best practices to improve efficiency, effectiveness, and overall project delivery.
Mentor and support project managers and team members in portfolio management best practices.
Facilitate training sessions as required to enhance the team's skills and knowledge.
Support the onboarding of new team members by introducing the framework, tools, processes, and ways of working within the business unit.
Drive value by creating a repository for lessons learned and best practices related to new initiatives.
Support programs kick-off activities, ensuring all tasks and artifacts are completed for handover to the Performance team.
Support change management initiatives aimed at improving portfolio performance.
Ensure stakeholders are informed and engaged throughout the process to facilitate successful adoption.
Minimum Requirements: Bachelor's degree or equivalent qualification, complemented by certifications in Agile, Six Sigma Black Belt, or Organisational Change, along with proven relevant industry experience.
Hands-on experience as a PMO Lead, Planning Mgr., or a similar role, supporting capacity planning, quarterly and annual planning processes.
Extensive experience with digital tools such as Jira, Confluence, and Jira Align.
Ability to create clear, data-driven business submissions and manage complex challenges with multiple stakeholders to achieve successful outcomes.
Strong capacity and willingness to coach, mentor, and influence others, fostering positive relationships and driving collaboration.
Adaptable and composed, thriving in fast-paced environments while effectively navigating and championing change.
