Physiotherapy Receptionist and Accounts OfficerFLEX Health TherapyHobart TASWe are looking for a dynamic, warm, friendly and organised individual to join our administration team. We'd ideally like the successful applicant to start in late November, but have flexibility to start with less hours initially if that's helpful.Our PracticeFLEX is a busy Physiotherapy practice just a few blocks from the Hobart CBD. We see a mix of patients with a wide range of issues: sporting injuries, neck and back pain, post-operative rehab, headaches, oncology related issues, and everything in between. As well as 1:1 Physiotherapy consults, we also offer: gym sessions, pilates mat classes, pilates reformer solo and trio sessions, and remedial massage. We pride ourselves on offering a friendly, warm and encouraging atmosphere for our clients, as well as a great team culture for our staff.We use Cliniko as our practice software, which is a very user-friendly, easy to learn program. It links seamlessly with our PhysiApp Exercise prescription software and Xero accounting system.The Role has 3 main elements:1. Receptionist (70%)Welcoming clients as they arrive to appointments with kindness and empathy - setting the tone as the clients' first point of contact.Answering inbound phone calls and enquiries.Appointment bookings, alterations and cancellations.Taking payments (including using HICAPS for private health and Medicare).Searching for imaging and reports online, and attaching to a patient's file and sometimes calling a radiology practice to retrieve reports.Creating or updating appointment types and billable items.Requires the highest level of confidentiality and professionalism.Option to add responsibilities for quarterly newsletter, social media marketing, Facebook and website refreshing for the right candidate.2. Accounts Manager (20%)Entering of sales invoicesAccounts payableExpensesCurrent accounts receivableOlder accounts receivableEntering remittance advice and documentingEnd of month reporting and communication with our accountantUsing basic functions of Xero accounting software3. Everyday bits and pieces (10%)BankingPost OfficeUpdating the Pilates class timetables and signs using CanvaBuying milk weeklyEnsuring reception space is neat and presentableGeneral spot cleaning to ensure a neat and presentable reception areaFolding towelsSkills, Experience and Personal AttributesWell-developed communication and interpersonal skills to provide clear and empathetic communication with clients.Positive and uplifting attitude to work and contributing to the team dynamic.Ability to work and establish priorities independently.Seek help and feedback where appropriate, using initiative to problem-solve and suggest solutions.Ability to multi-task - swapping between tasks and meeting deadlines.Easily build rapport with a wide variety of people.Ability to work independently as well as a member of the team.Administration or reception experience is preferred.Familiarity with Xero accounting software is strongly preferred (but not required).Selection CriteriaGood organisational skills to enable the coordination of a variety of tasks simultaneously including the ability to prioritise, plan and complete work activities within tight time frames.Excellent interpersonal skills that enhance the ability to communicate effectively with a broad range of people.Demonstrated commitment to customer service excellence and a high level of computer literacy with Microsoft Office and experience with other database operations.If a pilates instructor, personal trainer or group fitness instructor applies, there is scope to include class teaching, 1:1 clients, or casual covers also.Hours:Monday 9:00am - 5:30pmTuesday 9:00am - 5:30pmThursday 7:30am - 3:00pmFriday 7:30am - 3:00pmDuring December and January there is scope to work less hours - as we recognise this may suit those with caring responsibilities over school holidays.Your cover letter should include the following questions:How many years' experience do you have as a receptionist?
