Personal Assistant to the Head of Early Learning Centre (ELC)
Position Overview:The Personal Assistant (PA) will provide comprehensive support to the Head of the Early Learning Centre (ELC).
This dynamic role requires a proactive, highly organised individual with the ability to anticipate needs, manage multiple responsibilities, and effectively collaborate in a busy school environment.
The ideal candidate is someone who can think strategically and forward plan to meet the evolving needs of the ELC.Key Responsibilities:
Support the Head of ELC in coordinating daily schedules, managing appointments, and assisting with enrolment inquiries and processes.Assist with or take over staff rostering duties, ensuring effective scheduling and coverage for all roles within the ELC.Proactively manage and prioritise tasks, bringing forward key matters for timely action and follow-up.Anticipate needs by forward-planning and thinking strategically to support the evolving nature of the role.Liaise with families, staff, and external contacts with professionalism and warmth.Provide administrative and organisational support, including document preparation, data entry, filing, and email management.Maintain discretion and confidentiality with sensitive information at all times.Support the College ethos and strategic direction.Assist with the management of the human and physical resources in ELC.Key Skills and Qualifications:
Strategic Thinking & Forward Planning: Ability to adapt to evolving needs and plan for future requirements.Exceptional Organisation & Time Management: High proficiency in managing time effectively across varied tasks.Proactive Problem Solving & Initiative: Able to identify and solve problems independently and resourcefully.Strong Communication Skills: Effective verbal and written communication abilities.High Level of Discretion & Confidentiality: Consistently professional and trustworthy in handling confidential matters.Technical Proficiency: Competent in Google Suite, MS Office, and other digital tools.Attention to Detail: Consistently thorough and accurate with information and documentation.Flexibility & Adaptivity: Able to adjust to changing priorities and requirements.Emotional Intelligence: Empathetic and understanding approach to working with diverse groups.Excellent Interpersonal Skills: Skilled in relationship building and collaboration.Educational Requirements: ECT, Diploma, Cert III qualified, or willing to enroll in a Cert III traineeship.Requirements:
