Are you an organized and proactive professional with a knack for multitasking? Join our dynamic team as a Personal Assistant, where you'll play a crucial role in ensuring smooth operations and supporting our Masterplanned Communities Development teams.
In this role you will be supporting 2 Development Directors in our Victorian business in administration, communication, and information/workflow management. You will help enhance Stockland's Brand and the Managers profile, partnerships and relationships with key stakeholders both internally and externally.
This role is being recruited on a contract until November 2025.
Your tasks will include:
Complex diary management and scheduling of meetings for 2 x senior managers.
Manage and support 2 x team assistants.
Preparation and distribution of meeting agendas, presentations, reports, minutes and correspondence with a high attention to detail.
Minute taking in both internal and external meetings.
Coordination of workshops, events, interstate travel and expenses.
Handle inboxes and confidential information with utmost discretion.
Manage information retrieval, files, records, and maintain processes.
Focus on HR tasks, including people management and team resourcing.
Build and maintain relationships with key stakeholders, both internally and externally.
Foster cross-functional collaboration to enhance efficiencies.
Ensure full compliance with Operational Risk procedures.
To be successful in this role you will have the following skills and experience:
Previous experience working independently in a fast-paced senior management environment with high work pressures and competing deadlines.
Proven ability to manage and prioritise multiple tasks to a high standard, within set timeframes.
Strong capability in building and maintaining trusted relationships with senior managers and key stakeholders.
Demonstrated professional judgment and problem-solving capabilities.
Proficiency in Microsoft Windows applications for diary management, word processing, and Excel spreadsheets.
Experience in planning and tracking one-off administration projects/initiatives.
Excellent organisational and time-management skills.
Professional presentation and communication skills, both written and verbal.
