Personal Assistant / Project Coordinator Full-time

WT Partnership, a leading international consultancy in the construction and infrastructure industry, has an exciting opportunity for you to be a vital part of our head office staff in Melbourne.

Do you make sure things run smoothly?
We're looking for someone who fits that description to provide administrative support to National Directors and the associated team.
The core duties will involve: Project Proposals:

Managing and producing quality end-to-end documents for expressions of interest, submissions, proposals, and tenders.
Undertaking research on potential clients.
Assisting with organising events and chasing leads.
Assisting with marketing collateral, business cases, project sheets, capability statements.

Project Administration:

Updating and ensuring client data integrity in the Document Management System and ensuring new projects are set up properly.
Understanding and applying the WT brand, including formatting, use of styles, fields, and formulas.
Understanding and generating various WT reports, i.e., financial verification reports, tax depreciation, proposals, etc., in a timely and efficient manner.
Ensuring document accuracy and quality.
Generating fees and monthly invoicing, including communicating with clients.

Personal Assistance:

Managing and coordinating Directors' calendars and email inboxes.
Backfilling for office administration/reception when required.

Minimum Requirements:

Intermediate to advanced MS Excel, Word, and Outlook skills.
Strong client and stakeholder relationship skills.
Understanding of Quantity Surveying Services provided.
Previous experience in a professional services firm.
Understanding of the construction industry.
Other specialised software and design packages.
