Your Duties *Apply if you have:*
Proven experience in project management, executive assistance, or event coordination. Outstanding organizational skills and ability to manage complex spreadsheets and detailed information. Excellent communication skills, with experience drafting emails and preparing presentations. Ability to manage both business and personal tasks efficiently and independently. High proficiency with Microsoft Office, Google Workspace, and other relevant software for spreadsheets and project management. Full clean driver's license (own vehicle preferred but not essential). Up-to-date clean passport and comfort with frequent travel. Experience and true comfortability spending time with a young toddler. Very high EQ with the ability and foresight to handle any situations. Attention to detail and accuracy in all tasks. Flexibility to adapt to changing priorities and work schedules. Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment. Experience in large-scale event management or live entertainment is a plus. Travel & Living: You'll primarily work from our home in Sydney (Northern Beaches), a co-working space, and then from your own home remotely some days. The family travels a significant amount and you would accompany the family on some of these trips per year. Current trips in 2025 include Grammy Week in LA, the Super Bowl in New Orleans, Bali for a family trip, San Francisco for Milan Olympics planning, and several potential Europe trips. This is a very unique opportunity to work on incredible international events while also having slower-paced parts of your week looking after a young toddler and handling 'home' activities. You will play a pivotal role in ensuring the smooth functioning of daily operations for Courtney, managing administrative & personal tasks, and providing comprehensive support in all aspects of her life. A true right hand to everything she does! You will act as a part-time nanny, family manager, admin lead, project manager, ultimate travel planner, and event assistant, enabling her to focus on more strategic initiatives and planning. There are also plenty of travel opportunities and growth within the live events industry for the right person if it was of interest.
*So what will I actually do every day?*
Every day and week is different - but, to fit something in a job description to try and capture the essence of the role, you will be doing:
Administration & Event Project Management: Calendar management, including scheduling and confirming meetings and events across multiple timezones. Attending meetings and taking notes and managing follow-up. Assisting with drafting email correspondence for various projects. Event administration for select events. Managing Notion project management tool and keeping track of personal and business projects. Research projects. Personal Assistance: Management of personal accounts, Xero finance tracking and various subscriptions. Weekly ordering of groceries and items as needed for toddler and family. Managing and booking personal appointments. Postage collection and returns. Very light housework. General household management. Managing and booking travel and accommodation arrangements. Nannying: As needed (likely several part-days a week) as sole charge of toddler - taking to the park, library, playing games, giving meals etc. How a schedule may look: This can be negotiated for the right candidate - some admin will be WFH:
Monday: 9:00am - 5:00pm on admin Tuesday: 7.30am - 1.00pm with baby & then 1.00pm - 3.30pm on admin Wednesday: 7.30am - 1.00pm with baby & then 1.00pm - 3.30pm on admin Thursday: 9.00am - 5.00pm - admin Friday: 9.00am - 5.00pm - admin Flexibility and willingness to travel is essential.
