ABOUT YOU
We are looking for a Personal Assistant to provide a wide range of executive level administration support in a professional, timely, responsible, and confidential manner to the Chief Operating Officer and General Manager Minted Products.
This person is required to be flexible and have a high degree of planning to ensure that the Chief Operating Officer and General Manager Minted Products schedules are precisely managed, and any required documentation or presentations are available in a timely manner. The person will have a thorough knowledge of the Chief Operating Officer and General Manager Minted Products accountabilities and preferences and be able to perform confidential assignments with tact and integrity.
This position requires leadership qualities and the ability to be adaptable and flexible in role requirements.
Your role as a Personal Assistant:

Manage the Chief Operating Officer and General Manager Minted Products diaries and schedules to ensure effective and efficient use of time.
Ensure travel schedules and expense arrangements are managed accurately.
Plan, organise and accurately prepare drafts of all necessary reports, correspondence, submissions, and presentations as well as collating, summarising, and analysing data as required by the Chief Operating Officer and General Manager Minted Products.
Coordinate and ensure the submission of Board and Executive submissions are completed in a timely fashion and in line with Perth Mint's standards.
Arrange, coordinate, and participate in leadership team meetings.
Preparation and distribution of minutes, agendas, registers, and all relevant correspondence.
Assist and arrange overseas agent's conferences in Perth.
Assist with booking schedules for ANA, WMF (Berlin) and other overseas Coin Fairs.
Answer questions and provide routine information on behalf of the Chief Operating Officer and General Manager Minted Products.
Organise and maintain the Chief Operating Officer and General Manager Minted Products correspondence and records, determine appropriate distribution and follow up on pending matters when required.
Coordinate financial approvals for projects (CAPEX) on behalf of the Chief Operating Officer and General Manager Minted Products which includes quality assurance of expenditure approvals and other authorisation documentation.
Raise purchase orders and process invoices through D365 as requested.
Lead the identification and implementation of administration processes with regards to GC Five Year Strategic plan.
Maintain templates and forms ensuring they are to standard and available through the appropriate channels.
Manage and maintain professional relationships and networks.
Adhere to all legislative and organisational compliance requirements.
Undertake other duties or projects from time to time that align to the role.
Promote a safe and healthy work environment in alignment with the Perth Mint Vision, Mission and values.

EXPERIENCE

Business Management Qualification.
Demonstrated experience in a similar position.
Executive and Board level submissions.
Advanced Microsoft Office skills.
