The Operations Specialist plays a critical role in ensuring seamless operational support across our retail stores and a third-party logistics (3PL) warehouse.
This position is responsible for coordinating daily logistics, inventory management, and operational efficiency initiatives.
The Operations Specialist acts as a liaison between stores, the 3PL warehouse, and the support centre team to drive optimal performance, enhance communication, and support customer satisfaction.
Key Responsibilities: Inventory Management and CoordinationMonitor inventory levels across all retail locations and the 3PL warehouse to ensure accurate stock levels.Monitoring and management of sales orders within Shopify, ERP and WMS.Collaborate with the warehouse and retail stores to facilitate efficient inventory transfers, replenishments, and stock counts.Address inventory and barcode discrepancies, facilitating resolutions to ensure accuracy in stock data.Support cycle counts and year-end inventory audits for accuracy and compliance.Logistics and Supply Chain SupportA thorough knowledge of daily SLA tracking through ongoing reporting and the ability to communicate and manage our stakeholders accordingly.Coordinate inbound and outbound shipments with the 3PL warehouse, ensuring timely delivery to all retail locations.Track and report on delivery schedules, shipment statuses, and any delays or issues impacting store operations.Maintain relationships with third-party logistics partners, communicating issues or improvements needed in their services.Ordering and maintaining the appropriate consumables for the warehouse and stores, sourcing new suppliers where relevant.Operational EfficiencyIdentify and implement process improvements to optimise store and warehouse operations.Develop standard operating procedures (SOPs) to improve efficiency and support store personnel in following consistent practices.Assist in the training of retail store teams on operational best practices, inventory management, and use of systems.Reporting and AnalysisPrepare weekly and monthly reports on inventory levels, transfer activities, logistics metrics, and other key performance indicators.Analyse data to identify trends or issues, providing recommendations to management for improvements.Assist in budgeting and forecasting efforts by providing data and insights on inventory needs and operational expenses.Cross-functional CollaborationCoordinate effective communication between stores and head office on processes, promotions and providing appropriate training.Act as the primary point of contact between retail stores, the 3PL warehouse, and support centre teams.Work closely with other departments, such as merchandising, marketing, and finance, to align operational efforts with business objectives.Respond to and resolve store and warehouse issues promptly, ensuring clear communication across all stakeholders.Qualifications: 2+ years of experience in operations coordination, logistics, or inventory management, preferably in a retail environment.Familiarity with 3PL operations and/or warehouse management systems (WMS) preferred.Strong organisational skills with the ability to multitask and prioritise effectively.Excellent communication skills and the ability to work collaboratively across teams.Proficiency in Microsoft Office Suite, especially Excel; experience with ERP systems (particularly CIN7/DEAR) is a plus.Problem-solving skills with a proactive, detail-oriented approach to challenges.Efficiency: Able to optimise processes and seek continuous improvement.Communication: Effective verbal and written communicator across all levels.Team Collaboration: Able to work effectively with both internal teams and external partners.Attention to Detail: Ensures accuracy in all aspects of inventory, reporting, and logistics management.Adaptability: Thrives in a dynamic environment and can adjust quickly to changes in priorities.At The Memo, we follow a hybrid schedule.
We work from our South Yarra office on Mondays, Tuesdays, and Wednesdays, while on Thursdays and Fridays, we work from home.
This role requires some travel between retail locations and periodic visits to the 3PL warehouse.
The Operations Specialist may also need to work occasional weekends or evenings during peak periods.
