The Operations Lead is a dynamic opportunity to oversee and enhance the operational functions across our business.
This position requires a hands-on approach to managing day-to-day activities, ensuring efficient processes, and driving continuous improvement.
The successful candidate will work closely with the Leadership Team and report directly to the General Manager.

In this role, the Operations Lead will act as a pivotal point of coordination for operational tasks and initiatives, maintaining the smooth running of both physical and digital operations.
The ideal candidate will excel in a fast-paced environment, adapt to changing priorities, and foster a high-performance team culture.

This position is perfect for individuals with previous hands-on experience in operational or a related field, looking to advance their career by taking on a more impactful role.

RESPONSIBILITIES Reporting Reporting Standardisation - Maintain reporting templates and procedures to ensure consistency and accuracy across the organisation.
Reporting Cadence - Establish regular reporting cadences and ensure the team adheres to these timelines through proactive communication.
Decentralised Reporting - Train and support the Leadership Team (LT) in using reporting tools and understanding data requirements in order to independently fulfil their reporting responsibilities.
Wherever possible, reduce friction in the extraction and presentation process.
End of Month Reporting - Provide all necessary closing account information to accounting partners in order to finalise financial position for the month.
Budget Management Expense Monitoring - Continually review all incoming expenses against agreed budget and proactively flag variances with relevant stakeholders.
Expense Visibility - Provide visibility of incurred expenses to each Leadership Team (LT) member regarding their respective departments, to promote accountability.
Expense Optimisation - Periodically challenge recurring expenses to ensure usage and return on investment is ongoing.
Identify opportunities to reduce costs or improve efficiency without compromising quality or service.
Expense Management - Work collaboratively with the People and Operations Coordinator to ensure accounts payable of all vendors is paid accurately and on time.
Operational Excellence Standard Operating Procedures - Develop and document a comprehensive suite of SOPs across business functions.
Maintain an internal knowledge base to ensure centralisation and accessibility for all team members.
Technical Platform Enablement - Continuously review, monitor and provide recommendations for digital systems & technical infrastructure requirements to support business growth.
Best Practice Training - Provide training where required to ensure the team are leveraging consistent best-practices across technology use, which could enhance efficiency and effectiveness.
Cost-To-Serve Optimisation - Work cross-functionally to continuously reduce our cost-to-serve prospective and existing customers via all inbound and outbound channels.
Policy Management - Implement processes to ensure policies are consistently applied and adhered to throughout the organisation.
General Risk Management - Continuously monitor and mitigate operational risk for the business across people, processes, premises and providers.
Workplace Health + Safety (WHS) Administration - Administer Workplace Health and Safety policy throughout the business with a proactive, zero-incident mindset.
Provide ongoing safety training and education to employees to ensure they understand and adhere to WHS policies.
Insurance Coverage - Ensure continuous and appropriate insurance coverage is in place for the business, including but not limited to Property Insurance, Cyber Insurance, Workcover Insurance.
Business Continuity Planning - Create, maintain, and train the wider team on a robust Business Continuity Plan (BCP) which clearly articulates expected responses to key disaster scenarios to ensure operational continuity and preservation of business value.
Succession Planning - Work collaboratively with the General Manager to facilitate succession planning throughout the team and remove single points of failure (SPoF) within the overall organisational capability design.
Other Other tasks may be assigned from time to time which contribute to the effective operation of the business.
EDUCATION, QUALIFICATION AND LICENSES Bachelor's degree in Business, Business Management, Law, Commerce, or related field.
ESSENTIAL SKILLS AND EXPERIENCE At least 2 years demonstrated experience in operational management or a similar role.
Excellent communication skills, both verbal and written.
Exceptional organisational skills with the ability to manage multiple priorities.
Analytical mindset with strong technical problem-solving skills.
Proficiency in budget management and financial reporting.
Experience with risk management and implementing WHS policies.
Strong interpersonal skills to collaborate effectively with cross-functional teams.
Proficient in using technology and software tools to enhance operational efficiency.
Intermediate Excel/Google Sheets capability or willingness to learn.
Ability to thrive under pressure and maintain a positive attitude.

Exceptional attention to detail, spelling and grammar.
Highest level of personal and professional integrity.

Passion for health and fitness.
HIGHLY DESIRABLE SKILLS + CAPABILITIES Experience working with Shopify Plus.
Experience working with Xero.
Experience working with project management software, such as Asana.
