Our client is a reputable and well-known company for its variety of services within the construction industry, throughout both states Queensland and Victoria. They are now looking for an experienced Operations Administrator.
The Role A vital member of the Operations Management team, this position provides support for day-to-day operational administrative requirements. The role is instrumental in ensuring the operations of the business are efficient, cost-effective, and compliant with industry regulations and safety standards. Responsibilities include coordinating various operational tasks such as rostering, compliance, site mobilization, travel logistics, project cost tracking, client invoicing, and reviewing time-keeping sheets.
Key Responsibilities Answer telephone calls and respond to clients' inquiries with utmost professionalism.Prepare the information required prior to the start of every new project: SWMS, SDS, Policies, Portals (Procore, Hammertech, etc.).Ensuring accurate entry of job details to maintain a smooth workflow and prevent bottlenecks.Ensure the Operations team receives accurate information and paperwork related to daily work.Coordinate and schedule people, equipment, and materials to ensure efficient use of internal and external resources.Develop and manage effective rosters to ensure optimal staffing levels for projects, considering project timelines, employee availability, and budget constraints.Coordinate fleet scheduling, vehicle checks, preventive maintenance, and repairs.Coordinate the test and tag process and operational audits to comply with regulations.Closely monitor and report on the financial aspects of the business's projects, ensuring that expenses are within budget and identifying opportunities for cost optimization.Review operational KPIs, maintain documentation/data management, and report across all operations to contribute to decision-making.Review workforce invoices and prepare client invoices, liaising with office staff to ensure correct payments.Coordinate travel arrangements and accommodations, ensuring adherence to policies and cost-effectiveness.Coordinate purchases with suppliers from ordering materials to pick-up and delivery to the site.Skills & Experience Proven successful experience as an operational support administratorHigh level of numeracy skills, commercial acumen, planning and analytical thinking. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with operations management softwareExperience with Project CoordinationStrong written and verbal communication skillsHighly motivated with a positive and proactive approach.Effective problem-solving skills and proactive approach to task managementAbility to handle sensitive information and maintain confidentialityAbility to develop relationships with a wide range of people (employees, clients, suppliers).Proven ability to work under pressure.What's on offer … An excellent remuneration package for the right candidate will be offered.
