GENERAL PURPOSE: The Onboarding Specialist is responsible for providing direct support to Girl Scouts of Colorado staff, focusing on summer camp staff onboarding (domestic and international), data entry, and other HR-related tasks.
This role ensures compliance with state licensing requirements for camps and assists with maintaining accurate records in HR systems.
The Onboarding Specialist will also assist with general HR administrative duties under the supervision of the People & Culture Generalist.
ESSENTIAL DUTIES & RESPONSIBILITIES (Employees are held accountable for all duties of this job)
Coordinate and support the onboarding process for seasonal summer camp staff, including domestic and international hires.Assist with collecting and reviewing onboarding documents such as employment eligibility (I-9s), certifications, and other required documentation to meet state licensing requirements.Maintain accurate and up-to-date employee records in HRIS systems (PrismHR, TimeCo, Clear Company, SparkHire and JazzHR).Ensure proper communication with new hires, including welcome emails, onboarding checklists, and timely reminders about required tasks.Provide administrative support to the People & Culture team, including scheduling orientations, filing, and responding to inquiries.Support with hiring process for both seasonal and year-round staff positions.Assist with entering, organizing, and maintaining data in HR systems and spreadsheets.PRIMARY CROSS-FUNCTIONAL RESPONSIBILITIES In accordance with the philosophy of Girl Scouts of Colorado, the person filling this position may occasionally be required to carry out or assist with other tasks in addition to the duties listed on this job description.Support the efforts and commitments of Girl Scouts of Colorado in pluralism and diversity throughout the organization and within each community served.Embrace diversity and inclusiveness by contributing to positive relationships between diverse racial, ethnic, and social groups in the Council as a whole and between employees and volunteers.Collaborate with the summer camp team and other departments to ensure smooth hiring and onboarding processes.Assist with other HR-related tasks or special projects as assigned.JOB QUALIFICATIONS Education and/or Formal Training High school diploma or equivalent required.Associate degree or coursework in human resources, business administration, or a related field preferred.Experience At least 1 year of administrative experience required.Experience in human resources, onboarding, or data entry preferred.Previous experience working with seasonal staff or summer camps is a plus.Knowledge, Skills, and Abilities Strong organizational skills and attention to detail.Ability to manage multiple tasks and meet deadlines in a fast-paced environment.Excellent communication skills, both written and verbal.Proficient in Microsoft Office Suite (Word, Excel, Outlook).Experience with HR systems (HRIS/ATS) such as PrismHR, JazzHR, or similar platforms preferred.Ability to handle sensitive and confidential information with professionalism and discretion.Strong customer service skills and ability to interact positively with diverse populations.Additional Requirements Must pass a criminal background check.Valid driver's license and access to reliable transportation preferred.MATERIAL AND EQUIPMENT DIRECTLY USED Computer, phone, and standard office equipment.WORKING ENVIRONMENT & PHYSICAL ACTIVITIES Remote work environment with occasional in-person meetings or training sessions.Frequent sitting, standing, and use of a computer.Some light lifting (up to 20 lbs) may be required.***Employee signature below indicates the employee's understanding of the requirements, essential duties & responsibilities of the position.
