The Role: The Event Coordinator will support all experience requests and event execution and can expect direct interaction with employees, executives, customers, partners, and guests.
You will work closely with Event Supervisors and the entire Real Estate & Workplace Services (REWS) hospitality team to deliver best-in-class experiences that are unique.
The focus is on ensuring smooth execution and operational excellence during live events, utilizing internal event management tools, templates, and approved scripts to ensure all events are "next level" and follow logistical procedures, checking that all factors are accounted for to remain Salesforce compliant, aligning and collaborating with multiple departments, vendors, contractors, and agencies.
Your responsibilities include but are not limited to: Oversee operational excellence for the holistic guest experience during executive receptions, partner events, employee events, and other gatherings on the Specialty floors and Employee floors.Demonstrate strong customer service skills and proficiency in executive interactions during events.Efficiently multitask and manage multiple simultaneous live events.Ensure consistency with the client's brand and design standards in all customer-facing areas during events, including adherence to photography guidelines.Execute logistics for customer-facing meetings, company-wide events, and programs during the live event phase.Manage on-site event logistics to ensure adherence to all Health & Safety and Global Security & Safety policies, with supporting documents readily available if required (e.g., COI, PLI, SWMS, Risk Assessments).Utilize the REWS ticketing system and run sheets to manage assigned events from start to finish during live execution.Assist with any reasonable request made by management.Availability during evenings, weekends, and after hours is required on an as-needed basis for event execution.What you will bring: The ideal candidate has event operations experience, will thrive in a fast-paced environment, possess excellent problem-solving skills, and be able to maintain composure under pressure during live events.
