We're seeking an experienced Office Manager to oversee our administrative operations and support our team in delivering premium dairy products.
About the Role: As our Office Manager, you'll be responsible for ensuring smooth office operations, managing staff, and maintaining efficient organizational processes.
This role is crucial in supporting our mission to deliver excellence across all aspects of our business.
Key Responsibilities:
· Lead and coordinate office operations to support efficient dairy distribution, including managing delivery schedules, customer service protocols, and inventory documentation;
· Manage administrative staff supporting logistics, customer service, and accounts teams to ensure smooth operations across the supply chain;
· Oversee office and dispatch area organization, including maintenance of essential equipment like computers, printers, and communication systems used for order processing;
· Coordinate with transport companies, dairy suppliers, quality control teams, and regulatory bodies to ensure seamless business operations;
· Ensure compliance with food safety regulations, dairy industry standards, and workplace health and safety requirements, maintaining all necessary documentation;
· Develop and maintain standard operating procedures for order processing, customer communications, and cold chain documentation;
· Manage operational budgets, including fleet administration costs, office supplies, and administrative software subscriptions;
· Coordinate recruitment and training of administrative staff, ensuring they understand dairy-specific compliance requirements and cold chain protocols;
· Maintain accurate records of delivery schedules, customer accounts, and temperature control documentation;
· Liaise with quality assurance teams to ensure proper documentation of food safety compliance and cold chain maintenance;
· Oversee the processing of delivery dockets, invoices, and customer correspondence;
· Manage customer relationship management systems and maintain up-to-date customer databases.
Required Qualifications:
· Minimum 2-4 years' experience in office management, relevant experience especially food industry in is preferred.
· At least a Diploma Degree.
Desired Skills:
· Prior experience in the food distribution industry
· Knowledge of workplace health and safety regulations
· Outstanding communication and interpersonal abilities
· Proven track record in staff supervision and development
· Excellent organizational and problem-solving skills
