The Office Manager is the key go-to person for all office and events related matters and queries. This role also provides support to SVPs and VPs
ResponsibilitiesOffice administration and management Perform office management and reception tasks in a highly professional mannerCoordinate the purchase of stationery, office and kitchen supplies and office equipment to maintain the supply levelsOversee collection of inward and outward mail, arranging couriers, running errandsOrganise work space bookings for interstate staffManage inbound and outbound couriersCoordinate and support travel bookings for Australia-based staffSupport staff expense claims processingManage leases and office setup/updates/fit out/renovations projectManage expense and credit cardManage weekly FridayFix (internal newsletters)Provide administrative support to SVPs and VPsBuilding management liaisonManage company travel accountsSchedule online and face to face client meetings when required, manage conference room availability and bookings, assist with audio visual requirements and meeting room set upSupport and manage all-staff comms in relation to topics such as office administration, building updates/outages/maintenance.Manage capital purchases, direct vendor relations, maintain equipment tracking recordsConduct general/ad hoc administrative tasks as requiredAssist with finance ad-hoc tasks as requiredHR and events assistance Manage employee onboarding and offboarding requirements for Australia-based team members including preparing and coordinating new starter's equipment and helping with building tourIn partnership with the People Partner, coordinate annual people events and calendar, obtain quotes, organise morning tea/afternoon teaManage internal staff communications platformsSupport recruitment activities where requiredProvide health and safety supportSupport and execute company engagement initiatives as directedProvide HR operational support as requiredSkills and ExperienceIndicatively, 2-3 years in a similar positionOutstanding verbal and written communication skillsOutstanding interpersonal skillsIntermediate to advanced Microsoft Office skillsFlexible and adaptable to changing prioritiesA high degree of initiative and organisationAble to work as part of a team and autonomouslyAble to produce high quality and accurate documentation in a timely mannerExceptional organisational skillsA can-do attitude with a willingness to learn and take on tasksAbility to handle high-volume workloads and prioritise tasks effectivelyAn understanding of and demonstrated commitment to principles of confidentialityBehaviuors Ambitious - Drive, Planning & ExecutionAdventurous - Flexibility & Resilience and Savvy ThinkingCommunity - Collaboration & Communication
