Job Description:
We are seeking a dedicated and bilingual (Japanese-English) Office Manager to join our dynamic team. The ideal candidate will have a minimum of 4 years of office management experience , with a strong background in managing student enrolments and maintaining operational efficiency in an educational environment. This role is crucial in supporting the daily operations of our school, ensuring smooth administrative processes, and providing excellent customer service to students, particularly those from Japan. The successful candidate will act as a key liaison between students, staff, and management, fostering a positive and efficient environment.
Key Responsibilities: Oversee day-to-day office operations, ensuring the smooth running of administrative processes. Manage daily office requirements, including scheduling, record-keeping, and communication with internal and external stakeholders. Provide support to Japanese-speaking and other language students, offering guidance on school policies, enrolments, and course information. Coordinate with the Director of Studies and other staff to ensure smooth classroom operations. Assist with student admissions, documentation, and visa-related processes. Handle inquiries and resolve issues related to student welfare, administration, and services. Maintain strong relationships with students, ensuring they feel supported and integrated into the school community. Help implement and improve office procedures and workflows to ensure efficiency. Assist with financial and accounting tasks, such as invoicing and budget management. Stay up to date with current immigration policies and ensure compliance with visa regulations. Coordinate and manage weekly student enrolment intakes. Maintain and manage relationships with external partners, including international agencies, and internal stakeholders. Utilise RTO software and the Microsoft Word Suite to manage documents and office procedures efficiently. Support student services by assisting with queries, handling enrolments, and managing any related administrative duties. Essential Experience: Must have a minimum of 4 years experience in office management within an ELICOS College. Must have at least 3 years extensive experience with PRISMS and managing the COE process. Must have current working knowledge of Australian immigration policies. Must be proficient in managing student enrolment processes and intakes. Must have at least 3 years experience and be proficient in managing student fees and payment schedules that comply with an ELICOS school's policies and procedures. Must have indepth knowledge and experience in implementing ASQA policies and procedures for an ELICOS school. Must be bilingual in Japanese (native proficiency) and advanced English (written and spoken). Must have a high level of proficiency in RTO software and the Microsoft Word Suite (Word, Excel, Outlook). Must have proven ability to manage external and internal relationships, particularly with international agencies. Strong organisational and communication skills, with the ability to multitask in a fast-paced environment. Must have excellent communication and organizational skills, with the ability to multitask and prioritize effectively. Strong problem-solving abilities and attention to detail.
