As the Office Manager in the Communications and Public Engagement (CaPE) branch, you will provide essential support to a team that delivers strategic communications services, including digital and social media, web services, community engagement, media, and internal communications. Your role involves providing high-level advice and support across finance, human resources, executive functions, and office operations.
You will oversee administrative activities related to workforce and financial management, procurement, correspondence, and recordkeeping. Additionally, you will manage and mentor one administration officer.
Key responsibilities include:
Administrative Management: Oversee administration, financial management, HR, project management, procurement, correspondence, and Workplace Health and Safety, ensuring compliance with legislation and policies.
Stakeholder Engagement: Collaborate with senior management, unit managers, and other departmental officers to ensure smooth operations and provide informed advice.
Systems and Processes: Design, implement, and maintain administrative systems and procedures to enhance efficiency and compliance within the branch.
Financial Oversight: Manage budget preparation, analysis, expenditure forecasts, and provide financial advice and support to Cost Centre Managers.
Human Resource Support: Coordinate HR activities including onboarding, workforce reporting, and administrative assistance.
Executive Support: Assist the Executive Director and Directors with diary management, email management, records management and correspondence. Operate autonomously with a high level of responsibility.
Project Coordination: Develop processes for tracking projects and milestones, leading the administration team in coordinating these activities.
Meeting Coordination: Organise and manage meetings, providing secretariat services as required.
Corporate Governance: Manage responses to stocktakes, audits, and other governance requirements.
Branch Culture and Recognition: Lead initiatives to foster a positive branch culture and coordinate reward and recognition programs.
