The Anglican Diocese of the Northern Territory are seeking a full-time Office Manager to join their small dynamic team, which supports 15 Christian ministry units across urban areas and remote communities of the Northern Territory.
As the first point of contact for the Diocesan office, the successful candidate will serve as host to our patrons and manage our contacts.
The successful candidate will have excellent executive assistant skills and will support the General Manager and administrative functions of the office team.
They will perform the critical role of assisting the Finance Manager with general bookkeeping as well as managing and maintaining the Diocesan records and formal registers under the supervision of the General Manager / Registrar.
The small size of the office means that the work is varied and rewarding.
The desirable qualities of the successful candidate are a demonstrated ability to work in a small high-performing team environment, a flair for organisation and a keen eye for detail.
Experience in office management, excellent computer skills and bookkeeping is required.
While not essential, experience in event management and/or travel arrangements is highly desirable.
KEY RESPONSIBILITIES:
Provide professional administrative and secretarial services to support the General Manager and the Diocesan Office team, monitor Diocese incoming and outgoing correspondence/emails, schedule appointments and direct/fulfil requests for advice and draft correspondence/documentation in a professional and timely manner.
Maintain the smooth operation of the Diocesan Office as the first point of contact for our patrons and visitors.
This includes the organisation and management of key administrative and record-keeping systems, shared services provided by third-parties, common facilities used by the Diocesan Office team and management of Diocesan Property inspection program (lease, maintenance, safety, pests) for all Diocesan properties including responding to routine and urgent property maintenance requests.
Fulfill the role of bookkeeper and support the Finance Manager, particularly by preparing customer invoices and purchase orders, liaising with suppliers and customers, organising substantiating documentation, initiating payments and remittances and preparing draft financial and acquittal reports.
Provide secretariat support in relation to meetings and conferences including agenda and meeting paper preparation, minute taking, meeting support and venue arrangements as required, including maintenance of the Diocesan website and coordination of key events and travel arrangements.
Develop, maintain and continually improve the Diocesan Office procedures and processes of the Diocese.
