I am currently recruiting for a permanent, full-time EA/Office Manager position for an I.T company based in the Inner West.

Please note: This role will be 5 days working in the office. Your new role Administrative Support & Day to Day: Answer phones / take messages.
Maintain office services and procedures, alarms, fire procedure, cleaners etc.
Maintain office supplies inventory, anticipate needs, and place orders as required.
Managing and coordinating administrative tasks such as scheduling appointments, organising meetings, and maintaining office calendars, where applicable.
Office Operations Management & Administration: Develop and implement efficient office procedures, systems, and policies to enhance productivity and streamline operations, including but not limited to:
Office Services (internet, phones, printers, computers, cleaning and building services)
IT services (troubleshooting and general management)
Oversee facility management, including maintenance requests, repairs, and vendor coordination.
Monitor and support the Financial Managers office budgets, expenses, and invoices, ensuring adherence to financial guidelines.
Company asset management (tools, laptops, test equipment)
Supervise office staff, motivate and encourage them to improve productivity and the quality of work.
Company Division Support: General processing in Xero accounts receivable and accounts payable, end of month statement reconciliation when required.
Project set up, trackers management, invoicing when required.
Construction: compile and scan receipts, order Bunnings cards and petrol cards as instructed by management.
Marketing: thank you, Christmas, gift and/or hamper ordering Human Resources Coordination: Assist with maintenance of employee records and onboarding checklist via HRIS system.
Laptop and Software set up.
Coordinate training programs, workshops, and staff development initiatives.
Address employee enquiries and concerns, escalating issues as necessary.
Managing Deputy (timesheets), Leave and Staff Entitlements daily.
Coordinating staff training
Processing and Managing staff clearances (Police Checks / Working with Children)
Communicating Staff Birthdays / leave / general company announcements. Communication and Relationship Management: Serve as point of contact for internal and external stakeholders, providing excellent customer service.
Liaise with office vendors, contractors, and service providers, ensuring timely delivery of services and resolving issues.
Facilitate effective communication within the office, disseminating information and ensuring a collaborative work environment.
Coordinate and plan company events, meetings, and conferences, including logistics, travel arrangements, and accommodations. Executive Assistant: Support and assist the Directors with ad hoc tasks and actions as requested.
Act with upmost confidentiality and discretion at all times. What you'll need to succeed Previous experience as an Office Manager or EA
Strong organisational and multitasking skills, with keen attention to detail.
Excellent verbal and written communication abilities.
Proficiency in using office software, such as MS Office Suite
The ability to prioritise tasks, meet deadlines, and adapt to changing priorities.
Demonstrated problem-solving skills and ability to work independently.
Knowledge of human resources practices and basic accounting principles is an advantage.
Exceptional interpersonal skills and ability to work effectively with diverse teams. What you need to do now
