About the Role The Office Manager oversees key operational functions in the administration of Baptcare Hubs incorporating Family and Community Services and Mental Health Services and takes specific responsibility for a range of administrative tasks to ensure the smooth operations of the office and provide a positive, client-focused service to all stakeholders.
The Office Manager is responsible for managing daily operations of the site, undertaking administrative and client welcome functions, managing program finances and providing support to management as required.
Key Accountabilities: Manage all reception operations and duties, providing excellent phone and counter service to customers and contractorsMaintain accurate information for administrative systems as per Baptcare policy and procedureEnsure accurate and complete financial processes within delegations and in line with Baptcare policiesManage and accurately record documents and files with a high level of confidentialityEmploy highly developed written and oral communication skills, including competent computer skills, IT and data systemsUtilise excellent organisational, time management and self-direction skillsOversee administrative tasks such as processing accounts, ordering supplies and overseeing the vehicle fleetImplement and maintain administrative systems, including staff credentialing and mandatory certification systemsImplement office-based projects for the continuous improvement and service provision of the siteOversee the housekeeping and daily running of the officeProvide administrative support to management and staff.Key Tasks Provide excellent phone and counter service to customers and contractors.Maintain accurate information for administrative systems as per Baptcare policy and procedure.Ensure accurate and complete financial processes within delegations and in line with Baptcare policies.Manage documents and files with a high level of confidentiality.Provide support to the management team with appointments and meetings.Employ highly developed written and oral communication skills, including competent computer skills, IT, and data systems.Utilise excellent organisational, time management and self-direction skills.Undertake any other duties that are required as part of the role.Key Selection Criteria Experience in providing administrative leadership and support in an office environmentDemonstrated experience in excellent customer service, including an ability to work with people from a diverse range of backgrounds.Liaise with staff, clients, families, contractors and visitors from all walks of life, and be prepared to respond flexibly and positively to the changing needs of our stakeholdersDemonstrated positive interpersonal skillsDemonstrated understanding of the importance of confidentiality within this working environmentExcellent computer skills including document production, word processing, client database, account processing, spreadsheets and a willingness to broaden own computer knowledgeAn understanding of record keeping together with good organisational and planning skillsAbility to both work autonomously and to work within a teamUnderstanding and compliance with workplace health and safety responsibilitiesCompetency in using the range of Office computer packagesCandidates must hold Current motor vehicle licenceCurrent Working With Vulnerable People check at employee levelNational Police Check (Baptcare will complete this as part of onboarding if successful)For You Baptcare is focused on living our values, not just talking about them.
