The ideal candidate will have strong organisational skills and the ability to take the lead and use their initiative. This position demands a person who can exercise complete discretion and maintain confidentiality.
The Office Leader will be required to oversee and manage the day-to-day finance, student attendance and the daily organization functions within the school. The Office Leader will monitor and oversee subprogram budgets, accounts payable and receivable, Compass (students and staff), Cases 21 and manage daily school organization. This role will be responsible to manage the school office and will report to the school Business Manager.

ResponsibilitiesOffice Management: Greet and assist visitors, parents, students, and staff in a friendly and professional manner.Answer and direct phone calls, take messages, and handle correspondence.Oversee the school's filing system, ensuring documents are organised and accessible.Ensure that all confidential student files are kept in accordance with DET guidelines, the Privacy and Health Records Act.Update and maintain information on our student management systems (Compass/ CASES21) and other related programs for students and employees.Develop and manage the work practices of the Administration Staff to provide the efficient delivery of financial services.Administrative Support: Provide required level of administrative support for school events, functions, and projects.Administer functions as assigned, such as accounts receivable and finance support, camps and excursion support.Manage student attendance and provide reports as required utilising Compass.Schedule and coordinate meetings, appointments, and events.Ensure parent CSEF applications are processed and updated.Prepare reports, letters, presentations, and other documents as requested.Manage student attendance in COMPASS.In consultation with the Business Manager, oversee the development, implementation and monitoring of the school finances and budget.Contribute to the development of Finance policies and processes which lead to outstanding financial practices within the school which will ensure that the college complies with all DET and audit requirements.Knowledge of CASES 21 and COMPASS is desirable.Complete CASES21/ COMPASS administration rollover.Support CASES21 finance rollover.Leave staff applications.Communicate effectively with a range of people and liaise effectively with the school community, the Department and other government agencies and service providers.Compliance and Confidentiality: Ensure compliance with school policies, Department of Education regulations, and state laws.Handle sensitive and confidential information with discretion.Assist in the preparation of compliance reports and documentation.Daily Organisation: Manage and be responsible for the daily organisation of the school.Coordinate as required, Daily Organisation of the school's activities, including replacement or covering of staff.Assist, and coordinate as required, Daily organisation of all school activities including ensuring that all classes and yard duties are covered.Liaising with Event organisers regarding the staffing of excursions, incursions, camps, professional learning seminars and other school activities.Employ Casual Relief Teachers (CRTs) and replacement ES staff when required and liaise with the Business Manager regarding relevant HR requirements.Maintain an accurate record of extras and replacements taken by teachers and generate reports for the Principal Team as requested.Liaise with Principal Team when Daily Organisation/staffing issues arise.Daily Organisation - Post/notify relevant areas of absent staff, replacement classes, room changes and cancelled classes.Liaise with the Assistant Principal HR regarding timetable complexities, ensuring compliance with the VGSA and local agreements.Maintenance of Daily Organisation files and other Google Documents and Forms such as excel document.Working closely with the leadership team to ensure staffing arrangements align with budget allocations.Any other duties as required by the Principal team and Business Manager.
